Procurement Executive (IT / Vendor & Contract Management)

Job Summary

We are looking for a detail-oriented Procurement Executive to support IT procurement, vendor coordination, contract administration, software renewals, and related operational activities. The role will work closely with internal stakeholders, Legal, vendors, and business teams to ensure contracts, software licences, and renewal activities are managed accurately and on time.

Key Responsibilities

• Review and manage vendor contracts to ensure compliance with company policies and legal requirements.
• Act as the key liaison between Legal, internal stakeholders, and external vendors to facilitate contract discussions and issue resolution.
• Support IT procurement activities, including vendor coordination, software and system-related purchases, and renewal tracking.
• Monitor and manage software licence renewals, ensuring licences remain valid and up to date.
• Maintain accurate records of contracts, software subscriptions, licence renewals, and vendor-related documentation.
• Prepare and provide regular status reports on contract and software renewal activities.
• Support vendor management activities and follow up on outstanding actions or documentation.
• Update and maintain personnel-related records in HRIS platforms such as DarwinBox.

Requirements

• Diploma or Degree in Business, Procurement, Supply Chain, Information Technology, Human Resources, or a related discipline.
• Relevant experience in IT procurement, procurement operations, vendor management, contract administration, or software licensing.
• Experience handling vendor contracts, software renewals, subscriptions, or IT-related purchases is highly preferred.
• Good communication and stakeholder coordination skills.
• Able to work effectively with vendors, Legal, HR, IT, and other internal stakeholders.
• Experience with HRIS systems, particularly DarwinBox, is an advantage.
