Position Summary

The F&B Sales & Admin Coordinator plays a crucial dual role in driving food & beverage revenues and ensuring backend administrative excellence. This position is responsible for managing inbound dining and event enquiries, optimizing reservations, coordinating club promotions, and delivering executive administrative support to the F&B department.

The successful candidate serves as a key communication bridge between members, corporate clients, F&B operations, the kitchen team, and supporting departments to ensure flawless service delivery.

Key Responsibilities

1. Sales Performance & Account Management

  • Revenue Generation: Meet and support established F&B revenue, banqueting, and social event booking targets.
  • Enquiry Conversion: Proactively respond to and convert inbound banquet, event, and group booking leads into active clients.
  • Client Relations: Build rapport and nurture long-term relationships with club members, corporate & wedding event planners, and external guests.
  • Database Upkeep: Maintain clear sales records, client feedback tracking, and account interaction histories.

2. Reservation Management & Operational Support

  • Guest Coordination: Oversee high-profile F&B reservations, VIP table allocations, and special dietary arrangements.
  • Cross-Department Liaison: Communicate specific booking details, event floorplans, and kitchen notes to Banquet Operations and the Culinary team.
  • Collateral Management: Coordinate physical operational materials, including digital/printed daily menus and localised event food tags.
  • POS Administration: Manage the point-of-sale system backend, including setting up menu changes, promotional pricing updates, and extracting base sales reports.

3. Marketing & Promotions Coordination

  • Campaign Support: Collaborate with the Marketing & Communications department to drive seasonal F&B promotions, wine dinners, and holiday events.
  • Visual Merchandising: Maintain clubhouse notice boards, e-screens, and restaurant entrance displays to maximize visibility of F&B activities.

4. Secretarial & Compliance Administration

  • Committee Secretarial Support: Organize logistics, venue setups, and scheduling for F&B sub-committee meetings.
  • Documentation Standards: Efficiently compile and distribute professional meeting agendas, minute updates, and operational performance review papers to relevant HODs.
  • Regulatory Compliance: Manage and systematically update the club's active portfolio of F&B operational licenses, permits, and food handler certifications.

Qualifications & Job Requirements

  • Education: ITE Higher Certificate or Diploma in Hospitality Management, Business Administration, or a related discipline.
  • Experience: Minimum 2 years of relevant experience in a sales support, coordination, or guest relations capacity within a hotel, country club, or catering environment.
  • Technical Skills: Preferred Proficiency in Point-of-Sale (POS) systems and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Interpersonal Qualities: Good written and verbal communication skills with a polished interpersonal approach suited for premium member environments.
  • Execution Excellence: Strong organisational skills with a proven capacity to multitask, prioritise high workloads, and meet tight deadlines seamlessly.
  • Traits: Highly self-motivated, proactive, resourceful, and capable of operating both independently and across cross-functional teams.
