Office Administrator & HR Coordinator (Part-Time)
About this job
We're looking for a reliable and organized Office Administrator & HR Coordinator to support our day-to-day office operations and general HR matters. This role covers the practical, hands-on side of running an office — from managing supplies and coordinating with vendors to supporting team events and onboarding logistics.
Responsibilities
Office Admin Activities
Monitor stock levels of pantry and stationery supplies and place orders as needed.
Coordinate with building management/landlord on facility-related matters.
Coordinate office cleaning schedules.
Log and track facility repair requests, including air-conditioning, furniture, and equipment.
Coordinate with repair vendors and technicians as required.
Process internal procurement requests from staff.
Track order status and receive and log incoming deliveries.
Issue and collect laptops and other equipment during staff onboarding and offboarding.
Maintain office and equipment inventory records, including assigned devices and the asset register.
Ensure office equipment, furniture, and appliances are kept in good working condition.
Respond to ad hoc administrative requests from staff.
Compile weekly and monthly operational status reports.
Update operational dashboards and KPI trackers.
General HR Matters
Assist in organising company events, including team socials, TGIFs, festive celebrations, and employee milestones.
Assist with event logistics, including venue booking, catering, and RSVPs.
Draft and post internal announcements.
Coordinate first-day logistics, including introductions and office tours.
Process onboarding and offboarding checklist items, including equipment returns and access revocation.
Requirements
Singapore Citizen or Singapore Permanent Resident.
Diploma or Bachelor's degree in any field of study.
Able to work 1–3 days per week, 8 hours per day.
Prior experience in office administration or HR coordination is preferred.
Comfortable with common office software, including Microsoft 365 and Google Workspace.
Strong organizational skills, attention to detail, and follow-through.
Discretion when handling confidential HR and company information.
Ability to manage multiple small tasks and coordinate with vendors effectively.
Nice to Have
Exposure to project tracking tools such as Jira or Microsoft Lists.
Experience organising office events or team activities.
Experience supporting a small or growing team.
