Sales Operations Executive

Job Description & Requirements

We are seeking a Sales Operations Executive to support the sales and business development functions of our air-conditioning servicing and installation company. This role bridges sales, operations, and customer service to ensure smooth end-to-end delivery of quotations, contracts, and service scheduling.

Key Responsibilities:

• Prepare and issue quotations for aircon installation, servicing, and maintenance contracts to residential and commercial customers
• Coordinate with the technical/servicing team to schedule site visits, installations, and maintenance appointments
• Process sales orders, contracts, and invoices, ensuring accuracy of pricing, scope of work, and terms
• Follow up with customers on quotations, renewals of maintenance contracts, and outstanding payments
• Maintain and update the CRM/sales database, tracking leads, sales pipeline, and contract renewal dates
• Liaise with suppliers and vendors on procurement of parts and equipment where required
• Support the preparation of sales reports, forecasts, and performance metrics for management
• Handle customer enquiries and feedback, escalating technical issues to the servicing team as needed
• Assist in tendering and proposal preparation for larger commercial or B2B contracts
• Ensure compliance with company policies and industry standards in all sales documentation

Requirements:

Diploma or degree in Business Administration, Sales, or a related field

Prior experience in sales operations, coordination, or administration; experience in the building services, M&E, or HVAC/aircon industry is an advantage

Proficient in Microsoft Office (Excel, Word) and CRM/ERP systems

Strong organisational skills with the ability to manage multiple contracts and schedules simultaneously

Good communication and interpersonal skills to liaise with customers, technicians, and suppliers

Detail-oriented with a customer-service mindset

Able to work independently and as part of a small team documentation
