Key Responsibilities
Office Management & Operations
· Oversee day-to-day office operations to ensure efficiency and smooth business functioning
· Support the CEO with scheduling, coordination, and administrative tasks
· Establish and improve internal processes, systems, and workflows
· Coordinate across departments, suppliers, and partners to support business operations
· Manage office resources, facilities, and documentation
Finance & Accounts
· Maintain accurate accounting records and day-to-day bookkeeping
· Process payroll in line with Singapore regulations (Employment Hero)
· Manage accounts payable and receivable, including invoicing and collections
· Perform bank reconciliations and ensure financial accuracy
· Handle supplier invoices, expense claims, and procurement processes
· Manage inventory costing
· Support month-end closing and financial reporting
· Assist with GST filing and statutory compliance
Sales Administration & Order Processing
· Process customer orders and issue invoices accurately
· Maintain CRM systems, sales records, and reporting
· Coordinate order fulfilment and delivery timelines
· Liaise with customers, suppliers, and logistics partners, including customs processes where required
Customer Service
· Respond to customer enquiries via phone, email, or helpdesk systems
· Ensure timely resolution of issues and maintain strong customer satisfaction
HR& Administration
· Support onboarding, employee records, and HR administration
· Assist with work pass applications and regulatory compliance
· Maintain records, filing systems, and ERP master data
Qualifications, Skills & Experience
· Diploma or Degree in Accounting, Business, or a related field
· 2-3+ years experience in office management, finance, or operations roles
· Strong understanding of Singapore accounting standards, GST, and compliance
· Proficiency in Microsoft Excel and accounting/ERP systems
· Highly organized with strong attention to detail
· Ability to manage multiple responsibilities independently
· Strong communication and interpersonal skills
· Proactive, hands-on attitude and continuous improvement mindset
· Experience in the telematics industry is an advantage
