Job Overview

To support the implementation of digital and AI-driven initiatives across the organization, focusing on process improvement, system adoption, and operational efficiency. The role will assist in translating business needs into practical digital solutions and ensure smooth execution at the ground level.

Key Responsibilities

1. Enterprise Systems & Digital Tools Support

1. Support the adoption and day-to-day use of enterprise systems, including Enterprise Resource Planning(ERP) systems, workflow platforms, Microsoft 365 tools, and related digital solutions

2. Assist in gathering user requirements, documenting business needs, and preparing simple process flows for system enhancements or new tools

3. Participate in basic system testing, proof-of-concepts, and user acceptance testing to ensure alignment with operational workflows

4. Act as a coordination bridge between end-users, the Assistant Manager, IT, and vendors for issue tracking and enhancement requests

5. Monitor basic data quality, duplicate entry issues, and process friction points, and propose practical improvements where appropriate

2. Automation, AI & Productivity Support

· Identify manual and repetitive administrative tasks across departments that may benefit from automation or digital improvement

· Assist the Assistant Manager in developing, testing, and deploying simple automation solutions using Microsoft 365 tools such as Power Automate, Microsoft Lists, and SharePoint

· Support pilot projects involving AI tools, including document automation, chatbot use cases, data extraction, and workflow assistance

· Assist in testing, quality assurance, user feedback collection, and refinement of digital tools before wider rollout

· Maintain documentation for deployed automation solutions, including process flows, trigger logic, and exception handling

3. Digital Twin Support

· Assist in the phased implementation of digital twin initiatives for DLE’s building and future managed assets

· Support the coordination of building systems, operational data sources, BIM information, and visualisation platforms

· Help compile, organise, and validate asset, facilities, and engineering data required for digital twin development

· Assist in translating digital twin outputs into simple operational insights for facilities, engineering, and management teams

· Support documentation, user guides, and basic reporting related to digital twin workflows and system usage

· Coordinate with technology vendors, BIM consultants, and system integrators under the guidance of the Assistant Manager

4. Process Workflow Documentation

· Document existing and new company process workflows across departments in consultation with process owners

· Assist in conducting process interviews and observations to capture current workflows, pain points, and improvement opportunities

· Prepare clear SOP guides, workflow diagrams, and process maps using standardised templates

· Maintain a centralised SOP and workflow library that is properly version-controlled and accessible to relevant staff

· Support the review cycle for SOPs to ensure continued accuracy, relevance, and lignment with internal requirements

5. Workflow Implementation & Monitoring

· Coordinate the rollout of approved workflows across relevant departments, ensuring staff are briefed on updated processes

· Monitor adoption of approved workflows and SOPs through feedback collection, basic checks, and periodic follow-ups

· Identify workflow deviations, gaps, or inefficiencies and escalate findings to the Assistant Manager with suggested corrective actions

· Maintain a live workflow registry to track active workflows, updates, owners, and implementation status

· Support departments in onboarding new staff to documented processes and reducing reliance on verbal knowledge transfer

6. User Training & Adoption

· Provide basic training and guidance to staff on new workflows, systems, automation tools, and digital platforms

· Prepare user guides, SOPs, onboarding materials, and simple training references for new and existing staff

· Act as a first-level point of contact for user queries, basic troubleshooting, and adoption feedback

· Support practical change management by helping users understand updated processes and digital ways of working

7. Knowledge Management, Reporting & Coordination

· Maintain and organise the department’s digital knowledge base, including SOPs, workflows, automation guides, templates, and reference materials

· Ensure documentation is consistently formatted, version-controlled, and accessible via the Company’s approved platforms such as SharePoint

· Prepare regular status updates on workflow coverage, SOP completion, automation progress, documentation gaps, and assigned digital initiatives

· Coordinate with internal teams, IT, vendors, consultants, and system integrators for follow-ups, documentation, and implementation support

· Track progress of digital initiatives and provide timely updates to the Assistant Manager

Requirements

  • Diploma or Degree in Engineering, IT, Business, or related field
  • 1–3 years of experience in digital projects, process improvement, or systems support

· Familiarity with coding/programming such as Python, Enterprise Resource Planning (ERP) systems, workflow tools, or automation platforms will be an advantage

  • Basic understanding of process mapping (e.g. flowcharts, SOPs)
  • Comfortable working with data (Excel, reports, dashboards)
