Branch Manager (Ship Agency)

Key Responsibilities

Branch Operations

• Oversee the overall operation of the branch and ensure the effective delivery of ship agency services.
• Monitor vessel operations and ensure all services are delivered in accordance with customer requirements, company procedures, and applicable regulations.
• Maintain close coordination with port authorities, terminal operators, pilots, tug operators, marine service providers, and other stakeholders.
• Ensure operational issues, delays, and emergencies are handled promptly and professionally.
• Implement appropriate procedures to maintain high standards of service quality, safety, compliance, and operational efficiency.

Team Leadership

• Lead, manage, and develop the branch's operations and commercial teams.
• Set clear objectives and performance expectations for employees.
• Ensure adequate manpower and resources are available to support vessel operations.
• Coach and mentor team members to strengthen their operational and commercial capabilities.
• Foster a customer-focused, accountable, and collaborative working culture.
• Manage staff performance, training, recruitment, and development in coordination with management.

Business Development & Customer Management

• Develop and maintain strong relationships with shipowners, ship managers, charterers, operators, brokers, and other maritime customers.
• Identify and pursue new business opportunities within the ship agency and maritime services sector.
• Develop strategies to increase vessel calls, customer retention, and branch revenue.
• Prepare and negotiate agency proposals, quotations, and commercial agreements within company guidelines.
• Monitor market developments, competitor activities, and customer requirements to identify opportunities for business growth.
• Represent the company at industry events, customer meetings, port-related activities, and maritime networking platforms.
• Work closely with regional and global offices to develop cross-selling and account development opportunities.

Financial & Commercial Management

• Take responsibility for the branch's revenue, profitability, cost control, and financial performance.
• Monitor agency disbursements, operating expenses, credit exposure, and outstanding receivables.
• Ensure accurate and timely preparation of proforma disbursement accounts (PDA), final disbursement accounts (FDA), quotations, and invoices.
• Review branch performance against budgets and business targets.
• Identify opportunities to improve operational efficiency and reduce unnecessary costs.
• Ensure commercial activities are conducted within approved pricing and credit policies.

Compliance, Risk & Safety

• Ensure branch operations comply with relevant maritime, port, customs, immigration, health, safety, environmental, and company requirements.
• Maintain high standards of operational and documentation accuracy.
• Ensure appropriate risk assessments and contingency plans are in place for vessel operations.
• Investigate operational incidents and customer complaints and implement corrective actions where required.
• Promote a strong safety and compliance culture across the branch.
