Job Responsibilities

  • Manage and maintain project documentation, document registers, drawing registers, submission trackers and correspondence records.

  • Coordinate and prepare technical document submissions including material submissions, catalogues, shop drawings, as-built drawings, method statements, ITPs, RFIs, test reports and O&M manuals.

  • Check document numbers, revisions, status and completeness before submission.

  • Submit and track documents through client / main contractor document management systems.

  • Monitor submission and approval status and follow up closely on outstanding comments, approvals and resubmissions.

  • Coordinate with Project Managers, Project Engineers, QA/QC, site teams, suppliers, subcontractors, consultants and clients.

  • Ensure the site team is always using the latest approved drawings and documents.

  • Maintain proper revision control and withdraw obsolete or superseded documents.

  • Support project handover and close-out documentation.

  • Prepare document status reports and highlight overdue or critical submissions that may affect project progress.

Requirements

  • Diploma or Degree in Engineering, Business Administration, Construction Management or related discipline.

  • 2–5 years of relevant experience in Project Document Control, preferably in Construction, Engineering, M&E, Semiconductor, Cleanroom, Process Piping or related projects.

  • Experience handling technical document submissions, drawing registers, transmittals and revision control.

  • Good knowledge of Microsoft Excel, Word, Outlook and PDF document management.

  • Experience with Aconex, Procore, Autodesk Construction Cloud, Asite, SharePoint or other EDMS/CDE platforms will be an advantage.

  • Strong organisational skills with good attention to detail.

  • Able to independently track and follow up on outstanding submissions and approvals.

  • Able to communicate and coordinate effectively with project teams and external stakeholders.

  • Able to work in a project/site environment.

Preferred Experience

Candidates with experience in the following areas will have an advantage:

  • Semiconductor / Cleanroom projects

  • M&E / Process Piping / Utility projects

  • Material and catalogue submissions

  • Shop Drawing / As-Built Drawing control

  • RFI / Technical Query management

  • Project handover and close-out documentation
