Part-Time Operations Executive – Import/Export & Trade Documentation

We are an established import and export trading company specialising in architectural hardware and are looking for a Part-Time Operations Executive to support our operations team.

The role is based in the Admiralty/Sembawang industrial area with flexible working hours.

Responsibilities

  • Coordinate with warehouses, freight forwarders, suppliers and customers to ensure smooth import and export operations.
  • Prepare, check and process Letters of Credit (LC) and related trade documentation for both import and export transactions.
  • Prepare and verify shipping documents, including Bills of Lading, commercial invoices, packing lists, insurance documents, certificates of origin and customs clearance documents.
  • Liaise with banks, suppliers and customers on LC documentation, amendments, document presentation and discrepancies where required.
  • Monitor shipment schedules, delivery status, inventory movements and GRN processing.
  • Minimise unnecessary logistics costs, including demurrage, storage and transportation charges.
  • Provide customers and the sales team with order status, shipping schedules and relevant documentation.
  • Assist with inventory control, annual stock counts, invoice verification and operational reporting.
  • Provide support for local deliveries, exports and other day-to-day logistics activities.

Requirements

  • Minimum GCE 'N' Level or 'O' Level, or equivalent.
  • Candidates who may not have higher formal qualifications but can demonstrate strong hands-on experience in import/export operations and trade documentation are encouraged to apply.
  • Hands-on experience with Letters of Credit (LC) and international trade documentation is essential.
  • Practical experience in import/export operations, logistics, shipping, freight forwarding or international trading.
  • Familiarity with customs clearance and import/export procedures.
  • Experience in customer service, purchasing, inventory control or related operational functions will be an advantage.
  • Detail-oriented, organised and able to work independently.
  • Candidates with stronger experience or higher qualifications are welcome to apply, with remuneration commensurate with experience and qualifications.
