Relocation Project Manager

Job Purpose

Lead and coordinate all activities related to the company's relocation from the existing facility to the new site. The role is responsible for planning, coordinating, and executing the relocation project — including renovation works, vendor management, regulatory compliance, physical move activities, and post-move operational readiness — while minimizing business disruption and maintaining continuity of the company's operational and quality certifications.

Key Responsibilities

1. Relocation Project Management

• Develop and maintain the overall relocation masterplan, budget, schedule, and risk register.

• Coordinate all relocation activities across departments.

• Monitor project progress and provide regular updates to management and the Relocation Steering Committee.

• Identify and mitigate project risks to ensure timely completion.

2. New Facility Planning& Setup

• Work closely with management and users to define space, facility, and operational requirements.

• Coordinate layout planning for offices, workshops, warehouses, production areas, and common facilities.

• Liaise with landlords, developers, consultants, and government agencies on site-related matters.

• Support site inspections, due diligence, and handover activities.

3. Renovation & Fit-Out Management

• Manage renovation, reinstatement, fit-out, and infrastructure upgrade projects.

• Coordinate architects, consultants, contractors, and suppliers.

• Track project milestones, costs, quality, and safety requirements.

• Ensure works are completed according to specifications, budget, and timeline.

4. Regulatory &Compliance Coordination

• Coordinate approvals, permits, licenses, and regulatory submissions where required.

• Ensure compliance with workplace safety, environmental, building, and local authority requirements.

• Work with the Quality/HSSE team to maintain continuity of API / ISO certification through the move, including any notifications or re-audits required by API /ISO as a result of relocating certified manufacturing operations.

• Liaise with relevant statutory bodies and service providers.

5. Relocation & Moving Management

• Develop detailed move plans and execution schedules.

• Coordinate packing, transportation, installation, and commissioning activities.

• Manage relocation vendors and moving contractors.

• Minimize operational disruption during relocation.

6. Utilities, IT &Operational Readiness

• Coordinate setup of utilities, telecommunications, internet, security systems, and facility services.

• Work with IT teams to ensure infrastructure readiness.

• Ensure equipment, machinery, furniture, and operational assets are successfully transferred and commissioned.

7. Stakeholder Communication

• Act as the primary point of contact for relocation-related matters.

• Coordinate with internal departments and external stakeholders.

• Conduct relocation briefings and communicate project updates to staff and management.

8. Post-Move Stabilization

• Manage post-relocation issues and rectification activities.

• Coordinate defect management and contractor follow-up.

• Ensure smooth transition to business-as-usual operations.
