Job Summary
The Assistant Executive (Building Maintenance) will assist in the daily operations and maintenance of building systems and infrastructure to ensure optimal functioning of the premises. You will play a vital role in ensuring that the building is well-maintained, safe, and functional for all occupants. The Assistant Executive (Building Maintenance) will work under the supervision of the Senior Executive and collaborate with various departments to address maintenance needs promptly.
1. PRIMARY DUTIES:
- Assist in the coordination and management of routine and preventive maintenance schedules for building systems and audio visuals systems.
- Conduct regular inspections of building systems and facilities to identify maintenance issues and report findings to senior executive.
- Help manage and track maintenance work orders, ensuring timely completion of tasks.
- Coordinate with external contractors, vendors, and service providers to perform specialized maintenance or repairs.
- Assist in maintaining records of maintenance work, repairs, and expenditures for audit purposes.
- Respond to emergency maintenance requests and ensure swift resolution of urgent issues.
- Ensure compliance with health, safety, and environmental standards, adhering to relevant building codes and regulations.
- Support the preparation and maintenance of a budget for maintenance and repairs.
- Assist in the development and implementation of building maintenance procedures and protocols.
- Maintain cleanliness and organization of maintenance areas and equipment.
- Provide general support to the building’s occupants regarding maintenance related concerns.
- Manage the day-to-day operations, setup, troubleshooting and basic maintenance of the mosque's Audio Visual (AV) systems to support prayers, programs, meetings and events.
- Provide first level IT support by troubleshooting basic hardware, software, network and peripheral issues, and escalate complex issues to external vendors where necessary.
- Coordinate with AV and IT vendors to ensure equipment servicing, maintenance and timely resolution of technical issues.
2. SECONDARY DUTIES:
- Provide support in mosque event’s operations and manpower requirements.
- Provide support in department’s collective initiatives, implementations and recommend plans for improvement.
Requirements
- Professional Certificate/Diploma in Facilities Management or a related field (or equivalent work experience).
- Minimum of 2 years of experience inbuilding maintenance or facilities management.
- IT-savvy with good working knowledge of computer hardware, software, networking and Audio Visual (AV) systems.
- Experience in operating and troubleshooting AV equipment (e.g. microphones, projectors, LED displays, sound systems and videoconferencing equipment) will be an advantage.
- Excellent communication skills, with the ability to interact with both internal teams and external contractors or service providers.
- May require occasional after-hours or weekend work in the event of emergencies or scheduled maintenance.
- May require some physical activity, such as lifting, carrying tools, walking the building and inspecting systems.
