Job Summary
Provide comprehensive administrative and accounting support to the director in a small office environment, managing invoicing, payments, bookkeeping, tenancy agreements, statutory submissions, and office operations to ensure smooth business functions.
Responsibilities
- Manage director’s personal administration and accounting tasks to support daily operations
- Prepare approximately 100 invoices annually using Xero software to ensure accurate billing
- Process payments and record expenses via Xero software for timely financial management
- Prepare quarterly GST submissions for IRAS to ensure compliance with tax regulations
- Submit monthly CPF contributions for the director and two office staff to meet statutory requirements
- Create payment vouchers for expenses, bills, and salaries for director’s approval to maintain financial control
- Maintain full set of accounts bookkeeping using Xero software to ensure accurate financial records
- Draft and manage tenancy agreements (20 to 40 annually) using provided templates and ensure all related documents are collected
- Verify tenancy occupiers’ valid passes by logging into the myMOM portal to ensure regulatory compliance
- Perform stamping of tenancy agreements via IRAS online portal to validate agreements
- Retrieve property ownership information through relevant online sites to support tenancy documentation
- Update director’s sales and leasing transactions (approximately 100 per year) on the CEA website to maintain accurate records
- Organize and file company records digitally on the company D drive for efficient document management
- Oversee office management and daily operations for a small team of 2 to 3 staff to maintain a productive work environment
- Annually update staff salary information on AIS – Auto Inclusion Scheme for Employment Income to comply with reporting requirements
- Work a standard 5-day week, 9am to 5:30pm, in a quiet office at Chinatown Point
