About this job

We are seeking an enthusiastic and organised Reservations& Admin Coordinator to join the team supporting Soori Penang, a luxury heritage resort developed by SCDA. This is a genuine opportunity to build a career foundation in luxury hospitality — based in our Singapore head office, the role offers hands-on exposure to hotel reservations, events, sales support and hotel administration, with close collaboration with the property team in George Town, Malaysia, as well as hotel operations and management.

This role is ideal for someone early in their career who is genuinely excited about hospitality and eager to learn, enjoys figuring things out independently, and resourceful in searching for practical solutions. Prior reservations or front office experience is an advantage but not essential —what matters most is a real interest in the industry, attention to detail, a proactive attitude, and the ability to handle offsite communication, booking administration and general office support with accuracy and discretion.

Key Responsibilities

Reservations

  • Manage reservation enquiries across booking platforms and communication channels.
  • Process new bookings, amendments and cancellations accurately and promptly through Opera.
  • Maintain accurate reservations, guest profiles, preferences and special requests in the Property Management System (PMS).
  • Provide guests with accurate information on rooms, rates, packages, promotions and hotel facilities.
  • Monitor room inventory and availability while supporting occupancy and revenue opportunities.
  • Prepare daily and periodic reservation reports as required.
  • Preparing of reservations pick-up report for owner.

Administration

  • Coordinate procurement activities, including obtaining vendor quotations, raising purchase orders and tracking deliveries.
  • Provide day-to-day administrative support to the hotel operations and management team.
  • Maintain organised physical and electronic filing systems, records and documentation.
  • Assist with hotel invoices, administrative purchase, office supplies and coordination with Finance and Human Resources.
  • Compile operational information and departmental reports as required.
  • Coordinate meetings, document distribution, courier services and other general administrative matters.
  • Ensure data and records are maintained accurately and confidentially.

Events & Sales

  • Coordinate enquiries and bookings for weddings, private functions and small-scale events at the property.
  • Liaise with guests, vendors and on-site operations teams to confirm event requirements, schedules and logistics.
  • Maintain event calendars and ensure timely communication of event details to relevant departments.
  • Prepare event proposals, quotations and confirmation documents as required.
  • Support post-event follow-up, billing coordination and feedback collection.

Requirements

  • Diploma or Degree in Hospitality Management, Tourism, Business Administration, or related field — entry level.
  • Prior experience in reservations, front office or a related coordination/admin role is an advantage, but candidates early in their career with the right attitude are strongly encouraged to apply.
  • Working knowledge of a Property Management System (PMS) and booking/channel management tools is a plus point.
  • Good understanding of room types, rate structures, packages and promotional offers.
  • Strong organisational, communication and interpersonal skills.
  • Reliable, willing to learn and able to work independently with attention to detail.
  • A resourceful, self-starting mindset — comfortable working independently, digging up information and finding practical solutions to problems as they come up.
  • Genuine curiosity about the hospitality industry and a willingness to learn, with an openness to taking on new tasks and picking up new skills on the job.
  • Proficiency in both written and spoken English is required.
