(Order Processing) Customer Service Executive

Key Responsibilities:

• Process customer Purchase Orders (POs), verify order details, and create Sales Orders in the ERP system (Dynamics 365 Business Central).

• Handle customer enquiries and provide sales support, including order status, delivery schedules, product issues, and complaint resolution.

• Coordinate with Planning, Warehouse, and logistics providers to ensure timely order fulfilment, shipment, and delivery.

• Prepare and maintain sales and shipping documents, including Delivery Orders (DOs), Sales Invoices, Debit Notes, Credit Notes, and export documentation.

• Monitor sales backlog, outstanding orders, customer payments, and shipment progress to ensure smooth order execution.

• Coordinate freight arrangements, duty & tax payment requests, and Return Material Authorization (RMA) activities.

• Maintain accurate sales records, reports, customer data, and document filing.

• Perform data entry and other duties or projects as assigned.

Job Requirement:

• Diploma, Higher NITEC, or equivalent qualification in Business Administration, Sales, or a related discipline.

• Proficiency in English and Mandarin is required to handle business correspondence, quotations, service updates and follow-up communication with an existing group of customers who primarily communicate in Mandarin.

• 1–2 years of relevant experience in customer service, order management, sales coordination, logistics, or a similar role.

• Candidates should have hands-on experience managing customer enquiries and supporting the end-to-end order fulfilment process, including order processing, delivery coordination, shipment tracking, and complaint resolution.

• Experience using an ERP system is an advantage.

• Strong communication and interpersonal skills.

• Good organizational skills with the ability to manage multiple tasks and prioritize effectively.

• Meticulous, responsible, and able to work independently as well as in a team.

• Positive attitude with strong problem-solving and customer service skills.
