Job Summary
You will provide administrative and operational support to the audit team, ensuring efficient handling of documentation and day-to-day audit engagement requirements.
Responsibilities
- Manage day-to-day administrative tasks to ensure smooth audit operations and support the audit team’s workflow
- Prepare, organise, scan, print, and file audit-related documents to maintain accurate and accessible records
- Maintain electronic and physical filing systems for client and audit documents to enable quick retrieval
- Follow up with clients to obtain necessary documents and information to support audit engagements
- Prepare and format letters, schedules, reports, and other documents as requested by the audit team to facilitate audit processes
- Coordinate sending audit confirmations and correspondence to clients and relevant parties to ensure timely communication
- Track audit engagements, outstanding documents, and client requests to support timely completion of audits
- Assist in preparing invoices, quotations, and handling general administrative matters related to audits to support financial and operational tasks
- Maintain and update client records and internal administrative databases to ensure data accuracy and integrity
- Provide general office administrative support to enhance team efficiency and daily operations
- Perform other administrative and ad-hoc duties assigned by management to support audit functions and team needs
Required competencies and certifications
- Minimum GCE N/O-Level or equivalent
- Proficient in Mandarin to communicate effectively with Mandarin-speaking clients, as many clients primarily use Mandarin
Preferred competencies and qualifications
- Prior administrative or clerical experience to improve task efficiency and accuracy
- Proficient in Microsoft Word and Excel to prepare and manage audit documents effectively
- Strong organisational and time-management skills to handle multiple tasks and meet deadlines
- Attention to detail to ensure accuracy in documentation and records
- Effective communication skills to liaise clearly with auditors and clients
- Ability to work independently and manage multiple priorities efficiently
- Familiarity with accounting or audit environments is advantageous but not required
