About this job

What you'll do:

As the Office Administrator, you will support the day-to-day operations of our Singapore office by managing office administration, facilities coordination, procurement, invoice processing, mail and visitor management, new hire onboarding, event coordination, hospitality arrangements, and petty cash administration. You will work closely with internal stakeholders and external vendors to ensure the office operates efficiently. The ideal candidate is organised, proactive, hands-on, and able to manage multiple priorities independently while delivering reliable, professional support in a fast-paced environment.

  • Conduct daily inspections of office facilities, equipment, and meeting rooms to ensure everything is operational and well maintained, creating a comfortable environment for all staff.
  • Coordinate closely with the office cleaner to maintain a clean, safe, and organised workplace that supports productivity and wellbeing.
  • Manage procurement processes by sourcing and replenishing office and pantry supplies efficiently, ensuring resources are always available when needed.
  • Act as the primary liaison with facilities management teams and external service providers, facilitating smooth communication and prompt resolution of any issues.
  • Consolidate invoices from various vendors each week and submit them for approval, maintaining accurate records for financial tracking.
  • Handle incoming mail deliveries and coordinate courier services as required, ensuring timely distribution of important documents.
  • Welcome visitors warmly upon arrival and administer office or building access cards to support security protocols.
  • Organise onboarding logistics for new employees including office orientation sessions, helping newcomers feel supported from day one.
  • Assist in planning internal meetings, training sessions, town halls, and other office events by coordinating logistics and providing administrative support.
  • Arrange business card printing, corporate gifts, hotel accommodation for visitors when necessary, demonstrating attention to detail in hospitality.
  • Manage petty cash purchases for office requirements and submit reimbursement claims promptly to ensure smooth financial operations.

The ideal candidate has experience in office administration or business support and is organised, proactive and hands-on. You demonstrate professionalism, reliability and punctuality, with the ability to manage multiple priorities independently. Strong communication and interpersonal skills enable you to build effective relationships with colleagues, vendors and visitors. You are detail-oriented, adaptable and comfortable handling administrative processes, invoice management, petty cash, and office events while maintaining a high standard of service and operational efficiency.
