Job Summary

The Document Controller is responsible for managing, controlling, distributing, and maintaining all project and company documentation to ensure accuracy, quality, integrity, and compliance with company procedures and client requirements. The role ensures that all documents are properly filed, version-controlled, and readily accessible to authorised personnel.

Key Responsibilities

* Establish and maintain an organised document control system for project and company records.

* Receive, register, distribute, track, and archive incoming and outgoing documents.

* Ensure all documents are accurately filed in both electronic and hard copy formats, where applicable.

* Maintain document numbering, revision control, and document status in accordance with company procedures.

* Ensure only the latest approved versions of documents are available for use.

* Coordinate the submission of documents to clients, consultants, vendors, and regulatory authorities.

* Maintain document transmittal records and ensure timely distribution.

* Monitor document workflows and follow up on outstanding approvals and comments.

* Prepare document control reports, registers, and status updates.

* Assist project teams in ensuring documentation complies with contractual and quality requirements.

* Support internal and external audits by providing required documentation.

* Maintain confidentiality of sensitive company and project information.

* Assist with administrative duties related to project documentation as required.

Requirements

* Diploma or Degree in Business Administration, Engineering, Information Management, or a related discipline.

* Minimum 1–2 years of experience as a Document Controller, preferably in the construction, marine, offshore, engineering, or oil & gas industry.

* Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.

* Good organisational and time management skills.

* Strong attention to detail and accuracy.

* Ability to manage multiple priorities and meet deadlines.

* Good written and verbal communication skills in English.

* Able to work independently as well as part of a team.
