About the role:

We are looking for an Onsite Supervisor to oversee the end-to-end planning, coordination and execution of onsite healthcare operations.

The incumbent will be responsible for ensuring that each onsite event is adequately prepared, appropriately staffed and efficiently executed. This includes site preparation, manpower planning, logistics and inventory coordination, onsite supervision, patient flow management and post-event operational follow-up.

The Onsite Supervisor will serve as the key operational point of contact during onsite activities and work closely with internal teams and relevant stakeholders to deliver a smooth and positive experience for patients and participants.

Key Responsibilities:
Pre-Onsite Planning and Preparation

  • Conduct site recce and assess operational requirements, available space, workflow and logistical needs.
  • Plan the onsite layout and workflow to facilitate efficient movement of patients and participants.
  • Coordinate and prepare equipment, consumables, vaccines and other supplies required for each onsite activity.
  • Prepare relevant documentation, materials and other operational requirements prior to deployment.
  • Plan manpower requirements based on expected onsite volume and operational needs.
  • Ensure sufficient manpower is rostered and appropriately deployed for each onsite activity.
  • Coordinate onsite logistics and ensure all required resources are ready before commencement.

Onsite Operations:

  • Oversee the setup of the onsite location and ensure operational readiness before activities commence.
  • Supervise and coordinate the onsite team and serve as the main operational point of contact.
  • Monitor patient and participant flow and make operational adjustments to minimise waiting time and bottlenecks.
  • Ensure the onsite team delivers professional, efficient and service-oriented care.
  • Monitor manpower deployment and make adjustments where required to support operational needs.
  • Troubleshoot and resolve operational issues that arise during onsite activities.
  • Liaise with relevant stakeholders to ensure smooth execution of onsite operations.
  • Ensure appropriate service, safety and operational standards are maintained throughout the event.

Post Onsite Operations:

  • Ensure equipment, consumables and remaining inventory are properly accounted for after each onsite activity.
  • Coordinate the return and reconciliation of equipment, supplies and other operational materials.
  • Ensure required documentation, system updates and operational records are completed accurately and on time.
  • Follow up on outstanding operational matters to ensure proper closure of each onsite activity.
  • Highlight operational issues and recommend improvements for future onsite activities.
  • Perform other operational duties as assigned.

Job Requirements:

  • Diploma or Degree in Healthcare Management, Business, Operations Management or a related discipline.
  • Prior experience in healthcare operations, clinic operations, health screening, onsite operations or a related operational role will be advantageous.
  • Experience supervising or coordinating teams in an operational environment will be preferred.
  • Strong planning, coordination and organisational skills.
  • Able to supervise and coordinate multidisciplinary onsite teams.
  • Strong problem-solving skills and able to make operational decisions in a fast-paced environment.
  • Good communication and stakeholder management skills.
  • Service-oriented with attention to patient and participant experience.
  • Good attention to detail, particularly in inventory management, documentation and system records.
  • Able to manage multiple operational requirements and priorities.
  • Able to work independently and take ownership of onsite operations from preparation through completion.
  • Flexible and willing to travel to different onsite locations based on operational requirements.
