Executive, Volunteer Management (2-yr Contract)

Executive is to recruit, train, support, and retain volunteers to help achieve the organisation’s mission. Will assist the manager in analysing and interpreting volunteer data to generate insights that improve the understanding, engagement and support for the volunteers. Assist the manager, in coordinating the volunteer programmes at all Ren Ci entities. Will also assist the manager in ideating and managing volunteer recruitment efforts, administering their processing and training, as well as plan and execute regular volunteer programmes.

Strategic Planning

• Assist Manager in designing and implementing data driven approaches to enhance volunteer recruitment, management, retention, and satisfaction.
• Evaluate the effectiveness of volunteer programs and identify gaps or areas for improvement.
• Develop and execute strategies to attract suitable volunteers (e.g. outreach at schools, community centers, online platforms).

Volunteer Management

• Identify volunteer needs across at Ren Ci @ Irrawaddy and its programmes.
• Screen and interview potential volunteers.
• Match volunteers to appropriate roles based on skills and interests.
• Facilitate orientation sessions and ensure proper onboarding.
• Provide or organise training sessions for new and existing volunteers.
• Develop skill development or enrichment opportunities.
• Maintain volunteer rosters and ensure adequate coverage for events or programs.
• Supervise volunteers on-site or delegate supervision to team leads.
• Act as a point of contact for volunteers.
• Address grievances or conflicts promptly.

Programmes Management

• Plan, organise and coordinate programmes and activities from internal stakeholders / Departments, partners and volunteers.

Administration and Reporting

• Maintain accurate records (e.g. volunteer hours, number of activities, etc.)
• Generate reports for internal planning or external stakeholders.
• Ensure adherence to policies, work instructions and data privacy standards.

Job Requirements

• Degree or Diploma in any field
• At least 4 years related experience in customer relations or volunteer management roles.
• Experience involving the use of data analytics to gain insights to help in the management of customers, staff or volunteers will be preferred.
• Strong interpersonal, communication, time management, and organisational skills.
• Possesses strong problem-solving abilities.
• Team player with the ability to work effectively with diverse stakeholders.
• Proficient in Microsoft Office applications.
