Job Description
We are seeking a dedicated and detail-oriented Personal Assistant to support our Master/Consultant in daily business and client-facing operations. This role is ideal for someone who is organised, discreet, and comfortable managing a varied workload — from scheduling consultations to assisting with event and product coordination.
Key Responsibilities:
- Manage the Master/Consultant's calendar, including client appointments, home visits, and consultation bookings
- Handle client enquiries via phone, WhatsApp, email, and social media, and coordinate follow-ups
- Prepare and organise materials for consultations (e.g. Bazi charts, Feng Shui reports, client files)
- Assist with the coordination of Feng Shui audits, site visits, and event bookings (e.g. groundbreaking ceremonies, office/home consultations)
- Support the planning and logistics of workshops, seminars, or public talks
- Manage correspondence, documentation, and confidential client records with discretion
- Coordinate with vendors for items such as Feng Shui products, amulets, or ritual items, including inventory tracking
- Assist with basic social media content scheduling, website updates, or marketing collateral coordination
- Handle personal errands and ad-hoc administrative tasks for the Master/Consultant as needed
- Manage invoicing, payment collection, and basic bookkeeping for consultations and product sales
Job Requirements
- Minimum Diploma or equivalent; relevant experience will also be considered
- At least 1–2 years of experience as a Personal Assistant, Executive Assistant, or in a similar support role
- Strong organisational skills with the ability to manage multiple schedules and priorities
- Excellent communication skills in English and Mandarin/Chinese dialects (important for liaising with Chinese-speaking clients)
- High level of discretion and professionalism when handling confidential/personal matters
- Familiarity with or genuine interest in Chinese metaphysics (Feng Shui, Bazi, Zi Wei Dou Shu, etc.) is a strong advantage, though not mandatory
- Proficient in Microsoft Office and scheduling/calendar tools
- Comfortable working flexible hours, including occasional weekends, for site visits or client events
