Administrative Assistant (E-commerce & Order Fulfilment)

Xin Jun Yuan Pte. Ltd. is seeking a dependable and detail-oriented Administrative Assistant to support our daily administrative, e-commerce and order fulfilment operations.

This is a hands-on position involving both office duties and the labelling and packing of unopened beverage products. After training, the employee will handle the routine daily execution of online-store orders according to the Company’s established procedures.

Candidates with additional experience in digital marketing, social media, creative design or multi-channel e-commerce are particularly welcome. These additional capabilities are advantageous but are not mandatory requirements for the position.

Key Responsibilities

• Assist with routine administrative and operational tasks.
• Enter, check and update online-order and customer delivery information.
• Print and prepare invoices, picking lists, shipping labels and delivery documents.
• Update routine product, order and inventory records according to instructions.
• Monitor and process online-store orders using established procedures.
• Respond to routine customer enquiries.
• Refer refunds, payment issues, complaints, pricing decisions and unusual cases to the personnel in charge.
• Label unopened products and cartons.
• Pick, pack and prepare customer orders and cargo for delivery.
• Maintain an orderly office, packing and storage area.
• Perform other reasonable duties of a similar administrative, order-processing, fulfilment or support nature according to operational requirements.

Requirements

• Careful, organised and able to follow established procedures.
• Basic computer skills, including data entry and Microsoft Excel.
• Comfortable performing both desk-based work and hands-on labelling and packing.
• Able to work accurately with product quantities, order details and delivery documents.
• E-commerce, order-processing or warehouse fulfilment experience is helpful but not essential.
• Training will be provided.

Additional Skills – Advantageous but Not Essential

Candidates with any of the following additional skills or experience will have an advantage. These are preferred capabilities and are not mandatory requirements for the position.

Marketing & Creative

• Familiarity with Adobe Creative Cloud, particularly Adobe Photoshop and Illustrator.
• Previous experience in a creative agency, marketing, advertising, communications or mass communications environment would be advantageous.
• Experience assisting with or developing social media strategies and campaigns is preferred.
• Ability to prepare or adapt basic marketing, advertising and social media materials would be advantageous.

E-commerce & Multi-Channel Sales

• Practical experience using e-commerce platforms such as TikTok Shop, Lazada and Shopee is highly advantageous.
• Understanding of how social media marketing campaigns can be integrated with e-commerce sales channels to generate traffic and improve sales conversion.
• Experience managing products, promotions, campaigns or orders across multiple online sales channels would be advantageous.
• Basic knowledge of coding, website systems, automation or e-commerce integrations would be an additional advantage but is not required.

Employment Details

• Employment type: Full-time
• Probation: Three months
• Working days: Monday to Saturday
• Working hours: 9:30am to 5:45pm, including a one-hour meal break
• Rest day: Sunday
• Location: Tannery House, 37 Tannery Lane, Singapore 347790
• CPF contributions will be made where applicable.
• Commission: Employees may be eligible for a performance-based commission scheme after successful completion of probation. Details of the applicable scheme will be communicated separately.
