Biro Oktroi Roosseno (BOR) is an established international intellectual property firm with offices in Singapore and Jakarta. We manage trademark, patent and design portfolios for clients across Southeast Asia, Greater China and beyond, and work closely with a global network of associate firms through organisations such as INTA and AIPPI. Our Singapore office is small, close-knit and growing — you will work directly with senior management and see the full life-cycle of a trademark matter from day one.
The role
We are looking for a motivated and detail-oriented Trademark Executive to join our Singapore IP team. You will support our Senior Global Trademark Manager in running trademark prosecution and portfolio administration for a portfolio of international clients, with a particular focus on Mandarin-speaking clients and associates in Greater China.
This is a hands-on trademark role first. As you build competence, you will be progressively introduced to client relationship and business development work, with a clear pathway to an IP Manager role for strong performers.
Key responsibilities
Trademark prosecution and portfolio administration (core of the role)
• Prepare, file and monitor trademark applications, renewals, assignments, recordals and related matters in Singapore and overseas jurisdictions.
• Conduct trademark searches using official IP databases and prepare clear search reports and filing recommendations.
• Monitor and docket examination reports, office actions, publication, opposition and renewal deadlines; ensure nothing is missed.
• Draft routine responses, reporting letters, quotations and filing instructions for clients and overseas associates.
• Liaise with clients, overseas associates and IP offices (including IPOS and CNIPA, via associates) on the progress of matters.
• Maintain accurate, up-to-date records in the firm's IP management system and client files.
• Prepare draft invoices and assist with fee tracking and reconciliation for trademark matters.
Client support and business development (growing over time)
• Act as a point of contact for Mandarin-speaking clients and associates, handling enquiries and correspondence in Mandarin and English.
• Support the preparation of proposals, presentations and marketing materials for the Greater China market.
• Assist with international conferences (e.g. INTA, AIPPI), networking events and client meetings, including meeting scheduling and follow-up.
• Contribute ideas for growing the firm's Greater China client base; over time, take ownership of selected client relationships.
Requirements
Essential
• Diploma or Bachelor's degree in Law, Intellectual Property, Business or a related discipline.
• Professional proficiency in both English and Mandarin (spoken and written). This is required because the role involves daily communication with Mandarin-speaking clients, overseas associates and business partners.
• Strong organisational skills, excellent attention to detail and the ability to manage multiple deadlines reliably.
• Clear, professional written communication; comfortable drafting client correspondence.
• Proficient in Microsoft Office (Word, Excel, Outlook).
• A genuine interest in building a long-term career in intellectual property.
Advantageous
• 1–3 years' experience in trademark administration, IP paralegal work or a law-firm/IP-firm environment. Candidates with strong fundamentals and less experience will also be considered.
• Working knowledge of trademark filing procedures in Singapore, ASEAN or China (IPOS / CNIPA).
• Familiarity with IP portfolio management systems (e.g. WebTMS, IPfolio, DIAMS).
• Completion of, or willingness to pursue, the Graduate Certificate in Intellectual Property (GCIP) or equivalent.
• Interest in client-facing and business development work.
