Job Summary
The Finance & Admin Executive is responsible for supporting the company's daily financial operations and administrative functions. This role ensures accurate financial records, timely processing of transactions, compliance with company policies, and efficient office administration to support overall business operations.
Key Responsibilities
Finance
- Handle Accounts Payable (AP) and Accounts Receivable (AR) functions.
- Prepare invoices, payment vouchers, receipts, and journal entries.
- Process supplier payments and customer collections.
- Perform bank reconciliations and maintain accurate financial records.
- Assist in monthly closing and preparation of financial reports.
- Maintain petty cash and monitor cash flow.
- Verify employee claims and reimbursements.
- Assist in payroll preparation by compiling attendance and salary-related information.
- Support external auditors, tax agents, and regulatory authorities during audits and statutory filings.
- Ensure compliance with company financial policies and statutory requirements.
Administration
- Manage daily office administration and maintain proper filing systems.
- Handle office supplies procurement and inventory control.
- Coordinate maintenance of office equipment and facilities.
- Prepare letters, reports, and other administrative documents.
- Maintain company records, licenses, insurance policies, and contracts.
- Coordinate courier services, mail distribution, and document management.
- Provide administrative support to management and various departments.
- Assist in organizing company meetings, events, and staff activities.
Compliance & Documentation
- Maintain confidential financial and employee information.
- Ensure proper documentation and record retention.
- Support continuous improvement of finance and administrative processes.
- Perform any other duties assigned by management.
Requirements
- Diploma or Degree in Accounting, Finance, Business Administration, or related field.
- Minimum 2 years of relevant working experience.
- Knowledge of Singapore accounting practices and basic statutory requirements.
- Proficient in Microsoft Office, especially Excel.
- Experience with accounting software (e.g. Xero, QuickBooks, MYOB, Sage, or similar) will be an advantage.
- Strong attention to detail and accuracy.
- Good organizational and time management skills.
- Able to work independently and meet deadlines.
- Good communication and interpersonal skills.
Preferred Skills
- Basic payroll knowledge.
- Experience in logistics, transportation, or SME environment is an advantage.
- Familiarity with GST reporting and CPF submissions.
- Ability to multitask in a fast-paced environment.
