Production Supervisor

Job Purpose
To supervise and coordinate daily fragrance compounding activities to ensure fragrances are produced safely, accurately, efficiently, and according to approved formulas and quality standards. The Production Supervisor is responsible for managing production personnel, materials, equipment, production schedules, and compliance with company procedures.
Key Responsibilities
1. Production Planning & Execution
- Supervise daily fragrance compounding activities according to the production schedule and customer requirements.
- Ensure production batches are completed on time and according to approved formulations and specifications.
- Coordinate with Planning, Warehouse, Quality Control, Fragrance Development and other departments to ensure smooth production flow.
- Monitor production output, productivity and batch completion.
- Identify production bottlenecks and implement corrective actions to minimize delays.
2. Fragrance Compounding Operations
- Supervise the weighing, dispensing, mixing and compounding of fragrance ingredients according to approved formulas.
- Ensure all raw materials are correctly identified, weighed and handled before production.
- Verify batch documentation, formula revisions and material requirements before starting production.
- Ensure correct sequence of addition, mixing time, temperature and other processing parameters are followed where applicable.
- Monitor batch yield and investigate significant deviations or losses.
- Ensure finished compounds are transferred, labelled and stored correctly.
3. Quality & Formula Compliance
- Ensure production is carried out strictly according to approved formulas, work instructions and Standard Operating Procedures (SOPs).
- Prevent formulation, weighing, labelling and material-mixing errors.
- Work closely with Quality Control on batch sampling, testing and release.
- Investigate production-related quality issues, deviations and customer complaints.
- Implement corrective and preventive actions where required.
- Ensure traceability and accurate completion of batch manufacturing records.
4. Team Supervision & People Management
- Supervise, guide and motivate production operators and compounding personnel.
- Allocate manpower according to production requirements and workload.
- Monitor employee attendance, performance, productivity and work discipline.
- Train employees on compounding procedures, equipment operation, safety requirements and good manufacturing practices.
- Identify training needs and provide coaching to improve employees' technical competency.
- Conduct toolbox meetings and communicate daily production priorities.
5. Safety, Hygiene & Compliance
- Ensure all employees follow company safety procedures when handling fragrance ingredients and chemicals.
- Ensure proper use of personal protective equipment (PPE).
- Maintain good housekeeping and workplace hygiene within the compounding area.
- Ensure proper handling, storage and disposal of raw materials and production waste.
- Report accidents, spills, unsafe conditions and near-miss incidents promptly.
- Ensure production activities comply with company policies and applicable safety and environmental requirements.
6. Equipment & Maintenance
- Ensure compounding tanks, mixers, weighing equipment and other production equipment are operated correctly.
- Monitor equipment condition and report breakdowns or abnormalities to Maintenance.
- Coordinate routine cleaning and basic maintenance of production equipment.
- Ensure equipment is properly cleaned between batches to prevent cross-contamination.
- Support equipment qualification, calibration and maintenance activities where required.
7. Inventory & Material Control
- Coordinate with Warehouse to ensure availability of required raw materials and packaging materials.
- Verify material quantities and identification before production.
- Minimize material wastage, spillage and production losses.
- Ensure unused materials are properly returned, labelled and accounted for.
- Monitor consumption against approved batch requirements.
8. Documentation & Reporting
- Ensure production records, batch sheets, weighing records and other documentation are completed accurately and on time.
- Prepare daily/weekly production reports covering output, productivity, downtime, wastage and batch status.
- Maintain records of production issues, deviations and corrective actions.
- Provide regular updates to the Production Manager on production performance and operational issues.
9. Continuous Improvement
- Identify opportunities to improve production efficiency, productivity and material utilization.
- Participate in projects to reduce production costs, wastage and processing time.
- Recommend improvements to production processes, equipment and work methods.
- Support implementation of Lean, 5S and other continuous improvement initiatives where applicable.
