Administrative Support Executive (Corporate & Industry Partnerships)

Join our team in adynamic outsourced project role. We are seeking a detailed oriented and organized individual to support programme administration, stakeholder coordination, campaign/ programme partnership, inventory tracking and processing.
Key Responsibilities
- Coordinate and review programme and vendor submissions to ensure reports, data and supporting documents are complete, accurate and compliant with programme requirements.
- Conduct data validation and audit checks, follow up on discrepancies and clarifications, and consolidate validated reports and documents for internal review, filing and billing.
- Manage programme and logistics inventory records, including inventory requests, movements, deliveries and replenishment.
- Liaise with appointed vendors and conduct periodic inventory checks where required.
- Maintain accurate programme, inventory, audit, risk and administrative records, ensuring documents and supporting materials are properly organised and updated.
- Coordinate with Account Managers, programme teams, Marketing teams, vendors and partners on agreements, fulfilments, proof of deliverables, programme assets and other documentation requirements.
- Support campaign and programme activations, including website update requests, preparation of partner reports and coordination of programme materials.
- Prepare and process internal administrative forms and documentation, ensuring information is accurate before submission for review or approval.
- Provide general programme coordination support, including meeting arrangements, minute taking, follow-ups.
- Any other ad-hoc administrative tasks as assigned.
Requirements
- Diploma or GCE 'A' Level qualification.
- Minimum 1 - 2 years of relevant experience in programme administration, project coordination, administrative support or related discipline.
- Proficient in Microsoft Office applications (e.g. Excel, Word, PowerPoint, and Outlook).
- Excellent organisational, communication, project management, and time management skills.
- Experience in customer service and stakeholder coordination.
- Meticulous with strong attention to details.
- Able to work independently while collaborating effectively within a team.
- Able to manage multiple priorities in a fast-paced environment.
Working time:
Monday - Friday, 9 am to 6.30 pm
