We are lookingfor a responsible and detail-oriented Purchasing Executive to join our team.The successful candidate will support day-to-day purchasing activities, sourcereliable suppliers, process purchase orders, coordinate deliveries, and ensuregoods and services are procured in a timely and cost-effective manner.
Role Overview
As a PurchasingExecutive, you will be responsible for handling the full purchasing process,including sourcing, price comparison, supplier coordination, purchase orderpreparation, delivery follow-up, and documentation. You will work closely withinternal departments, suppliers, logistics teams, and the finance team toensure that purchasing requirements are properly reviewed, approved, ordered,delivered, and recorded. This role is suitable for someone who is organised,proactive, commercially aware, and able to manage deadlines in a hands-onbusiness environment.
Key Responsibilities
- Receive, review, and processpurchase requisitions from internal departments.
- Source, evaluate, and comparesuppliers based on pricing, quality, availability, delivery lead time, andservice reliability.
- Request quotations, negotiateprices, payment terms, delivery schedules, and other commercial terms withsuppliers.
- Prepare and issue purchaseorders in accordance with company procedures and approval requirements.
- Follow up with suppliers toensure timely delivery of goods and services.
- Coordinate with warehouse,operations, logistics, and internal users on delivery arrangements, orderstatus, and urgent purchasing needs.
- Check delivery orders,invoices, purchase orders, and supporting documents to ensure accuracy andcompleteness.
- Maintain accurate purchasingrecords, supplier information, price lists, contracts, quotations, and relateddocumentation.
- Monitor stock levels, recurringpurchases, and reorder requirements where applicable.
- Assist in resolving supplierissues, delivery delays, quantity discrepancies, quality concerns, and invoicemismatches.
- Build and maintain good workingrelationships with suppliers, vendors, and internal stakeholders.
- Support cost controlinitiatives by identifying competitive suppliers, alternative products, andprocess improvements.
- Prepare purchasing reports,price comparison summaries, supplier evaluations, and order status updates whenrequired.
- Ensure all purchasingactivities comply with company policies, approval limits, internal controls,and documentation requirements.
- Assist with ad hoc duties andother procurement-related tasks as assigned.
Requirements
- Diploma or higher qualificationin Supply Chain Management, Procurement, Business Administration, Logistics, ora related discipline.At least 2 to 3 years ofrelevant experience in
- purchasing, procurement, supply chain, or vendorcoordination.
- Experience in sourcing,supplier negotiation, purchase order processing, and delivery coordination willbe an advantage.
- Good working knowledge ofMicrosoft Excel and purchasing, inventory, ERP, or accounting systems.
- Basic understanding ofpurchasing procedures, supplier management, stock control, and documentationrequirements.
- Strong attention to detail withgood accuracy in checking prices, quantities, purchase orders, invoices, andsupporting documents.
- Good negotiation,communication, and interpersonal skills for dealing with suppliers and internalteams.
- Good organisational skills withthe ability to manage multiple orders, delivery schedules, and deadlines.
- Able to work independently,follow up proactively, and solve day-to-day purchasing issues.
- Positive attitude, willingnessto learn, and strong sense of responsibility.
