About the Role
Ancourage Academy is looking for a proactive and organised individual to support our tuition centre’s day-to-day administration, student enrolment, scheduling and teacher coordination.
This role combines customer service, sales follow-ups and administrative operations. You will work closely with parents, students, teachers and management to ensure enquiries are followed up, lessons are properly arranged and our internal records remain accurate.
We currently receive approximately 20–30 new enquiries per day, alongside coordination matters for existing students. We are looking for someone who can take ownership of each case and follow it through to resolution—not simply respond to messages.
Training will be provided on our programmes, pricing, internal systems, communication guidelines and operational processes.
Key Responsibilities
1. Enquiries, Lead Management & Student Enrolment
Respond promptly and professionally to enquiries through WhatsApp and other communication channels. Understand each parent’s or student’s needs, including the subject, level, preferred location and availability, and recommend suitable classes or trials.
Maintain consistent follow-ups with prospective students, follow up after trials and guide interested parents through the enrolment process. Where appropriate, recommend additional subjects or lesson packages based on the student’s learning needs. Ensure every active lead has an updated status and a clear next action.
2. Trial Bookings, Scheduling & Student Coordination
Check teacher and class availability, collect the necessary student information and arrange trials or regular lessons. Before confirming a trial, check that the proposed arrangement can accommodate ongoing lessons should the student enrol.
Record bookings in our internal portal and send clear confirmations to parents, students and teachers. Coordinate rescheduling, replacement lessons, additional classes and timetable changes, ensuring all relevant parties receive the correct information. Follow up with teachers for trial feedback and communicate this to parents where required.
3. Teacher Sourcing & Recruitment Support
Help identify and source suitable tutors when we require teachers for particular subjects, levels, locations or class timings.
This includes checking our existing teacher database, contacting suitable existing or previous teachers, reaching out to potential new tutors and gathering information about their teaching experience, subject expertise and availability.
Assist with initial screening and interview coordination, maintain organised candidate records and follow up with potential teachers. Refer suitable candidates to management for assessment and hiring decisions.
4. Payments & Enrolment Administration
Follow up on payments and outstanding balances, check payment status against internal records and ensure the correct lesson-package details are recorded.
Update student enrolment statuses, arrange lessons in the system and inform the relevant teachers and internal team when an enrolment is confirmed. Keep payment and enrolment records accurate so that pending matters can be identified and followed up promptly.
5. Internal Records & Operational Follow-Through
Maintain accurate records in our internal portal and Excel tracking sheets, including lead statuses, follow-up dates, trial bookings, enrolments, payments and scheduling changes.
Ensure information and decisions communicated through WhatsApp are reflected in the relevant internal records. Send reminders where needed, track outstanding matters and coordinate with the relevant parties until each case is resolved.
Escalate complaints, refund requests, special pricing requests and other matters requiring management approval.
Requirements
- Strong written communication and interpersonal skills, with a professional and helpful approach when speaking with parents, students and teachers.
- Good organisational skills, attention to detail and the ability to manage multiple enquiries, follow-ups and scheduling matters.
- Comfortable using WhatsApp, Excel or similar tracking tools, and willing to learn our internal systems.
- Reliable, proactive and able to work independently while keeping the team updated. Experience in administration, customer service, sales support, education operations or recruitment coordination would be an advantage.
Training & Support
You do not need to be familiar with our systems before joining. We will provide onboarding and training covering our class offerings, pricing and packages, enquiry-handling procedures, follow-up processes, scheduling arrangements, teacher coordination and record-keeping.
You will receive guidance as you become familiar with the role, with management support for unusual situations and decisions requiring approval.
Working Arrangement
This is a remote role requiring consistent availability during Singapore-time working hours.
Candidates must be able to commit to working at least 6 days per week, with availability from approximately 11:00 AM to 10:00 PM (Singapore Time) on working days.
As a significant part of the role involves responding to parents, students and teachers through WhatsApp, the successful candidate must be able to monitor and reply to messages consistently throughout this period, while also completing follow-ups, scheduling, enrolment administration, teacher coordination and other operational tasks.
This does not mean that you will be continuously handling messages every minute of the day. However, you should be regularly reachable and able to respond within a reasonable timeframe during the agreed working hours, as enquiries and operational matters may arise throughout the day.
We are looking for one consistent individual who will personally handle the day-to-day responsibilities and become familiar with our students, teachers, systems and processes over time. This role is therefore most suitable for someone who can provide a long-term and dependable commitment rather than someone with limited or irregular availability.
The exact working days, rest day and other working arrangements will be discussed during the interview.
