Position Summary

The Assistant Operations Supervisor supports the daily coordination of cleaning and landscape-maintenance operations. The role is responsible for manpower deployment, attendance monitoring, site inspections, worker supervision and prompt resolution of operational issues.

The successful candidate must be willing to travel between sites, communicate confidently with workers and clients, and take ownership when manpower or service issues arise.

Key Responsibilities

1. Manpower Deployment and Attendance

  • Prepare and maintain daily and weekly manpower schedules.
  • Confirm workers’ attendance and deployment.
  • Respond promptly to staff absences or late attendance.
  • Contact approved relief workers and arrange replacement coverage.
  • Recommend staff redeployment when immediate replacement is unavailable.
  • Escalate unresolved shortages to the Operations Manager with proposed solutions.
  • Maintain an updated list of available workers.
  • Submit accurate attendance, overtime and deployment records.

2. Cleaning Operations

  • Supervise cleaners and ensure that contractual duties are completed.
  • Conduct inspections of common areas, washrooms, offices and other assigned areas.
  • Ensure proper use of colour-coded cleaning equipment and chemicals.
  • Check that cleaning machines, tools, chemicals and consumables are available.
  • Brief cleaners on work procedures, safety requirements and client expectations.
  • Arrange prompt rectification of complaints or unsatisfactory work.
  • Ensure compliance with company procedures and applicable cleaning requirements.

3. Landscape Operations

  • Coordinate station gardeners and mobile landscape teams.
  • Check that watering, pruning, weeding, fertilising and general maintenance are completed according to schedule.
  • Monitor site conditions and report unhealthy plants, pest or disease issues, irrigation faults and safety concerns.
  • Coordinate the delivery of plants, soil, fertilisers, tools and other materials.
  • Support the horticulturist, arborist and landscape supervisor during inspections and specialised work.
  • Ensure landscape waste is properly collected and disposed of.
  • Submit photographs and site updates after scheduled visits.

4. Site and Client Management

  • Conduct regular site inspections across cleaning and landscape contracts.
  • Maintain professional communication with clients, supervisors and workers.
  • Acknowledge operational complaints promptly and arrange follow-up action.
  • Inform management early if any service requirement cannot be fulfilled.
  • Prepare inspection reports, incident reports and rectification updates.
  • Attend client meetings or site briefings when assigned.

5. Worker Supervision

  • Conduct site briefings and provide on-the-job guidance.
  • Monitor workers’ attendance, punctuality, conduct and work quality.
  • Address minor performance issues and report repeated misconduct to management.
  • Ensure workers comply with workplace safety requirements and wear the necessary personal protective equipment.
  • Build cooperation between cleaning, landscape and mobile support teams.

6. Equipment and Inventory Coordination

  • Monitor cleaning chemicals, consumables, landscape materials and equipment.
  • Submit replenishment requests before items run out.
  • Check that tools and machinery are properly used, maintained and stored.
  • Report damaged, missing or unsafe equipment immediately.

Requirements

  • Experience in cleaning, landscaping, facilities management or site operations is preferred.
  • Supervisory or team-lead experience is an advantage.
  • Able to coordinate both cleaning and landscape workers.
  • Responsible, calm under pressure and solution-oriented.
  • Comfortable handling attendance and manpower problems.
  • Able to use WhatsApp, take site photographs and prepare basic reports.
  • Able to communicate with workers, management and clients.
  • Possession of a valid driving licence is an advantage.
  • Willing to travel between different work sites.
  • Training will be provided for candidates who are strong in one service area but willing to learn the other.
