1. Key Responsibilities

Inventory & Asset Management

  • Conduct annual fixed asset counts to ensure minimal discrepancies.
  • Maintain accurate records of internal inventory and fixed assets in the Fixed Asset Register, ensuring proper tagging and documentation.
  • Review and update Standard Operating Procedures (SOPs) related to asset management.
  • Support cost-saving initiatives in asset preservation.

Facility Maintenance & Safety

  • Maintain high hygiene standards and proper record-keeping across all sites.
  • Oversee maintenance of building equipment, lifts, and ensure timely servicing.
  • Manage security measures, including CCTV systems and premises safety.
  • Implement and monitor Safety Management Measures (SMM)

Service & Maintenance Contracts

  • Conduct annual evaluations and reviews of service / maintenance vendors.
  • Track and manage contract renewals to ensure timely servicing of New Hope CS sites.

Logistics & Operational Support

  • Coordinate transportation for donation collections and deliveries if necessary.
  • Ensure timely renewal of scheduled maintenance services.

Supplier & Vendor Management

  • Maintain and update a list of approved vendors.
  • Conduct annual vendor evaluations for quality assurance.

Procurement Support

  • Assist Finance in the procurement approval process by preparing evaluation matrices for quotations, projects, and ITQs.
  • Work with the Finance Director / Manager to streamline procurement processes.

AV Support

  • Provide AV support for internal events.

ESG (Environmental, Sustainability, & Governance) Initiatives

  • Support the ESG task force in developing and executing sustainability programs.
  • Assist in aligning ESG initiatives with corporate goals, regulations, and industry standards.
  • Monitor and report ESG program performance, risks, and progress to leadership.
  • Engage stakeholders to enhance awareness and collaboration on sustainability efforts.
  • Ensure compliance with ESG regulations, risk management, and best practices.

Others

  • Any other related duties in New Hope CSL as assigned by the Reporting Officer.

2. Accountability

  • Reports to Senior Executive / Deputy Director, Organisation Development

3. Education and Experience

  • Minimum Diploma/Degree in relevant disciplines.
  • At least 2 years of experience in a similar capacity or related industry (Preferred but not required)
