About the Role

Own the end-to-end preparation of the Club's legacy data — primarily from its current club management system, and any other systems currently in use — for migration into the Club's new club management platform, working from the vendor's data migration templates.

Key Responsibilities

  • Extract and organize data primarily from the Club's current system, and from any other systems or sources currently in use by the Club, across Finance (GL/chart of accounts, budget), AR (bill codes, dues).
  • Membership (types, primary/dependents), F&B/Retail POS (menu items, modifiers, locations), Banquets, Events, and Activities.
  • Clean, standardize, and validate data for accuracy and completeness before populating the vendor's migration templates.
  • Work through how the outgoing system's data structure maps to the new platform’s data.
  • The two systems won't organize information the same way, and untangling that mapping logic is a core part of the role.
  • Liaise directly with department heads (Finance, Membership, F&B, Sports/Activities) to source and clarify data.
  • Flag data quality issues early and escalate to the IT Project Manager.
  • Support data reconciliation around Go-Live and end-of-month close (member balances, inventory counts).
  • Maintain a simple tracker of module-by-module completion status.

Requirements

  • Junior profile — At least 1 year of relevant work experience; hands-on execution entry level role.
  • Strong Excel skills (VLOOKUP/XLOOKUP, pivot tables, data cleaning functions) required.
  • Experience with ERP systems is required; familiarity with CRM or membership management systems would be advantageous.
  • Comfortable working with file formats such as CSV and performing basic troubleshooting of data import and export errors.
  • Detail-oriented and analytical, with a genuine affinity for data — someone who gets energized by figuring out how two systems' data logic connect.
  • Strong reconciliation and problem-solving instincts.
  • Proactive, self-directed, and comfortable taking ownership of a workstream with ability to work independently on assigned tasks while seeking guidance when required.
  • Prior experience in data entry, data migration, or a finance/membership admin role — preferred.
  • Club, hospitality, or membership-organization experience — a plus.
  • This is a 100% on-site role.
