Full-time · Singapore · S$4,000–S$5,000 gross monthly, depending on relevant experience, plus performance incentives. Applicable employer CPF is additional; incentive terms will be explained before an offer is accepted.
Who This Is For
You like keeping things moving. Ten small things in the air, none dropped. You are happy on the phone with a tenant at 10, at a showflat at 12, and back at a laptop at 3 with a tidy list of what is done and what needs a decision. You notice the detail nobody asked you to notice, and you would rather fix the process than repeat the fix.
Bring relevant experience in executive assistance, property administration, client services or similar operations work, with examples of dependable follow-through. We provide training in our property workflows.
What We Are
A small property advisory practice led by Daniel Ong, a real estate advisor with PropNex. You keep his week organised, clients looked after and paperwork moving, working directly with one decision-maker. Content production sits with a separate hire. You coordinate directly with that colleague on approved shoots, access and events; Daniel sets priorities.
What You Would Actually Do
1. Keep the week running. His calendar, appointments, routes and confirmations. Keep one live list of deadlines, next steps and decisions waiting on him.
2. Look after client and tenant administration. Coordinate viewing appointments, support advisor-led handovers, organise keys and contractors, track repairs, servicing receipts and rent reminders, and prepare approved PropertyGuru listing materials. You are a friendly, organised point of contact for scheduling and routine updates.
3. Keep the paperwork straight. Prepare tenancy agreements from approved templates and verified instructions, assemble transaction packs, maintain expense records and coordinate events. Daniel determines terms, approves documents before circulation and makes agency submissions. You track deadlines, chase missing items and flag decisions needed.
What This Is Not
- Not a desk-only job: about half your week is out with him or at properties across the island.
- Not a sales role: This is an administrative support role. Daniel conducts property viewings and handles property advice, transaction introductions and negotiations. You identify yourself as his assistant and refer these matters to him. You keep everything around them moving.
- Not a job for someone who needs every step assigned: once you know a case, you run its routine yourself.
- Not a household manager: there is a little agreed personal admin, and that is where it ends.

How We Work
Monday–Friday, 9:30am–6:30pm with a one-hour lunch break; Weekends are normally off. Occasional Saturday work is required with advance notice, with time off in lieu provided. If an office is established, designated office days may be introduced with advance notice.
No standing requirement to monitor messages outside working hours. Work phone and SIM provided.
The first three months include training, case briefings, checklists and templates as you progressively own routine administration. You can implement agreed process improvements; workload and priorities are reviewed together.
