  • Job Description
  • Provide daily administrative and operational support to management and production teams.
  • Prepare and maintain purchase orders, sales orders, quotations, delivery orders, invoices and production documents.
  • Assist in planning and updating production schedules, work orders and job priorities.
  • Monitor work-in-progress (WIP) and follow up on production status to meet customer delivery dates.
  • Coordinate with Production, Purchasing, Store, QA/QC, Sales and Logistics on materials, job status and delivery requirements.
  • Check and monitor availability of raw materials, components and consumables required for production.
  • Follow up on material shortages, subcontracting work and outstanding supplier deliveries.
  • Maintain accurate production records, job sheets, inventory records and documentation.
  • Assist in arranging deliveries, collections and other logistics requirements.
  • Liaise with customers and suppliers on order status, delivery schedules and general administrative matters.
  • Highlight potential production delays, material shortages or delivery issues to management promptly.
  • Assist with manpower attendance, leave records, filing and other general office administration when required.
  • Ensure documents and records are properly maintained for quality, audit and traceability purposes.
  • Perform other administrative and production coordination duties assigned by management.
  • Job Requirements
  • Minimum N/O-Level, Nitec, Diploma or equivalent qualification.
  • Relevant experience in administration, production planning, manufacturing operations or production coordination is preferred.
  • Proficient in Microsoft Excel, Word and general computer applications.
  • Able to understand and follow production schedules, work orders and delivery requirements.
  • Good coordination and communication skills with internal departments, customers and suppliers.
  • Strong organisational skills with good attention to detail and accuracy.
  • Able to multitask, prioritise work and meet deadlines.
  • Able to work independently with minimal supervision and as part of a team.
  • Responsible, proactive and willing to follow up closely on outstanding matters.
  • Able to work effectively in a fast-paced manufacturing environment.
