About The Role
As an Associate Executive, Procurement in ALPS, you will be based in one of the 27 public healthcare institutions (PHI) in Singapore, you will be responsible for the Procurement and Contract Management services within the PHI. Working in a team you will provide proactive planning and value add to the procurement category you are in-charge of. You will also communicate closely with hospital users and ALPS vendors to support in the hospital’s daily operations for patients’ care.
Key Responsibilities
- Process and produce Tender/Quotation/RFP documentation for all purchasing activities undertaken by the team, maintain and retrieve related information for evaluation
- Manage department assets such as IT equipment, laptops and desktops, which include managing the order, repair/maintenance logging, disposal and tracking of such assets
- Manage the department's inventory and fulfillment of stationery, office supplies, office furniture and workstations
- Liaise with other departments and other PHIs such as IT, Finance and HR for administrative support duties
- Provide general administration support to the team such data collation for MOH reports
- Provide support in the forecast of drug quantity to purchase for both national contracts and institutional contracts
- Source for non-formulary drugs from other PHIs (on loan or purchase basis) or directly purchase from the vendors
- Ensure that procurement of products are always carried out in a fair and objective manner in compliance with procurement policies
- Verify all purchase documents have approved authorities and correct information indicated before processing Purchase Orders (POs)
- Generate and send out approved PO to vendors
- Create/ delete/ amend PO as and when required
- Trigger stock delivery & monitor stock delivery status and ensure timely delivery of supplies
- Resolve purchase and delivery discrepancies
- Track suppliers' performance through systematic monitoring and constantly looking for better ways to improve suppliers' performance.
Requirements
- Diploma / Advanced / Higher / Graduate Diploma in Supply Chain or related discipline with at least 2 years of relevant experience, preferably with experience in pharma procurement.
- Proficient in Ariba/Sesami and SAP MM modules.
- Sound knowledge of procurement cycle and governance.
- Strong interpersonal and communication skills.
