Job Overview:
The Site Admin is responsible for providing administrative support to ensure the smooth operation of construction site activities. This role involves managing site documentation, coordinating with project teams and the head office, maintaining records, and supporting site administration functions. Strong computer skills are essential for handling documentation, data entry, reporting, and communication.
Job Description:
- Provide administrative and clerical support for daily site operations.
- Maintain and organize site documents, records, reports, and filing systems.
- Prepare and update project-related documentation, spreadsheets, and reports.
- Coordinate and communicate with site staff, subcontractors, suppliers, and the head office on administrative matters.
- Monitor and maintain office stationery and administrative supplies for the site office.
- Receive, verify, and maintain records of Delivery Orders (DOs), invoices, and related documents.
- Ensure timely submission of Delivery Orders, invoices, and supporting documents to the head office for processing.
- Perform data entry and maintain accurate records in computer systems and project trackers.
- Assist in tracking site manpower records, attendance, and other administrative documentation.
- Support site meetings by preparing documents, meeting minutes, and reports when required.
- Ensure proper document control and record management in accordance with company procedures.
- Perform other ad hoc administrative duties as assigned by management.
Job Requirements:
- Minimum 2 years of relevant administrative experience, preferably in the construction industry.
- Proficient in Microsoft Excel, Word, Outlook, and other computer applications.
- Strong computer literacy with the ability to prepare reports, manage spreadsheets, perform data entry, and maintain electronic records.
- Good organizational and multitasking skills with attention to detail.
- Able to work independently and meet deadlines in a fast-paced site environment.
- Good communication and coordination skills.
Note: Candidates must be comfortable using computers on a daily basis for documentation, reporting, data entry, email correspondence, and record management.
