Job Summary

We are seeking a detail-oriented Payment Operations Analyst / Executive to support daily payment operations, merchant onboarding, reconciliation, settlement, data reporting, and issue resolution. You will also collaborate with cross-functional teams on system enhancements, process improvements, and project activities while developing practical experience within the payment services industry.

This role is designed for fresh graduate candidates or junior professionals with strong analytical skills, attention to detail, and an interest in fintech and payment operations.

Work Function & Key Tasks

Payment Operations Support

  • Support daily payment operations, including transaction monitoring, reconciliation, settlement updates, exception handling and month-end activities.
  • Review transaction and settlement records for accuracy, completeness and timely processing.
  • Assist with investigating discrepancies, missing transactions and settlement delays.
  • Maintain operational trackers and escalate unresolved or higher-risk issues to the appropriate team.

Merchant Management and Account Support

  • Assist with merchant onboarding, including document checks, account setup, agreement tracking, KYC coordination and system integration follow-up.
  • Maintain accurate onboarding records and monitor outstanding merchant requirements.
  • Respond to routine merchant enquiries and coordinate the resolution of operational or service-related issues.
  • Support periodic merchant account reviews for compliance and operational readiness.

Data Analysis and Reporting

  • Collect, consolidate and analyse sales, merchant, transaction, revenue, product usage and operational data.
  • Identify relevant trends, variances, recurring issues and operational inefficiencies.
  • Prepare regular business and payment operations reports to support planning and decision-making.
  • Maintain dashboards, KPI trackers and issue logs using approved reporting tools.
  • Present findings through clear tables, charts and concise written summaries.

Reconciliation, Controls and Risk Monitoring

  • Extract, clean and validate data from payment systems, business applications and operational records.
  • Perform routine reconciliation to identify mismatches, missing transactions and other exceptions.
  • Follow established controls to reduce errors and support revenue-leakage prevention.
  • Maintain records of reconciliation findings, data definitions and reported exceptions.
  • Escalate recurring data-quality, risk or control issues for further review.

Product, System and Process Enhancement Support

  • Work with Business, Operations, Product and Technology teams to understand reporting, workflow and system requirements.
  • Assist in documenting process flows, data requirements, use cases and acceptance criteria.
  • Prepare test data and support user acceptance testing for product or system enhancements.
  • Record test results, defects and user feedback, and follow up with relevant teams.
  • Support post-implementation checks and recommend practical process improvements.

Operations and Project Coordination

  • Provide backup support for operational reports, transaction checks and time-sensitive data requests.
  • Assist with project trackers, timelines, action items, risks and status updates.
  • Prepare data summaries and presentation materials for project discussions.
  • Support pilot implementations, system rollouts and post-launch monitoring.
  • Keep assigned operational and project records accurate and current.

Compliance, Documentation and Stakeholder Collaboration

  • Maintain accurate documentation for operational, reporting, audit and compliance purposes.
  • Follow applicable policies, data-security requirements, operational controls and escalation procedures.
  • Collaborate with Business Development, Sales, Finance, Compliance, Risk, Product, Technology, Operations and Project Management teams.
  • Communicate operational issues, data findings and project updates clearly to relevant stakeholders.
  • Assist in maintaining SOPs, checklists and process documentation.
  • Perform other reasonable duties related to payment operations, reporting, reconciliation or project support as assigned by the Company.

Required competencies and certifications

  • Strong understanding of data analysis, reporting, visualisation, and payment operations concepts such as transaction processing, reconciliation, and settlement.
  • Proficiency in Microsoft Excel, including formulas, pivot tables, lookup functions, data validation, and charts.
  • Basic knowledge of SQL, with familiarity in Power BI, Tableau, or similar reporting tools.
  • Excellent at cleaning and validating data, identifying discrepancies, and preparing clear reports, dashboards, and trackers.
  • Good analytical, problem-solving, communication, and organisational skills.
  • Attention to detail, reliable follow-through, and the ability to complete routine assignments independently while seeking guidance when needed.
  • Interest in payment services or fintech, with a willingness to learn payment products, systems, and operational controls.

Preferred competencies and qualifications

  • Diploma or bachelor’s degree in Data Analytics, Business Analytics, Statistics, Mathematics, Economics, Finance, Accounting, Banking, Information Systems, Computer Science, or a related discipline.
  • Up to two years of relevant experience in data analysis, business reporting, payment operations, project coordination, or operations support.
  • Fresh graduates with relevant internships, academic projects, or an analytics portfolio are welcome to apply.
  • Exposure to payment services, reconciliation, merchant onboarding, user acceptance testing, or system implementation would be advantageous.
  • Proficiency in Python, Power Query, Power Automate, or other analytical and automation tools would be beneficial.
  • Relevant training or certification in Excel, SQL, Power BI, Tableau, Python, data visualisation, or business analytics would be advantageous.
  • Candidates with equivalent practical skills and demonstrated ability to perform the role may also be considered.
