About this job
We are seeking an experienced and highly organised Senior Assistant Manager to support the Leadership Team in driving strategic projects, organisational priorities and governance matters. This role will work closely with senior leaders and stakeholders across the organisation, with a strong focus on project management, executive coordination, governance and organisational improvement.
Key Responsibilities
Support the Leadership Team in managing key priorities, commitments and engagements.
Coordinate calendars, meetings, official visits, stakeholder engagements and local/overseas travel.
Track action items and follow up on matters requiring leadership attention.
Prepare and quality-check briefing materials, presentations and communication materials.
Develop project plans, timelines and implementation schedules.
Coordinate cross-functional stakeholders and monitor project deliverables, risks and dependencies.
Support organisational priorities, transformation initiatives and continuous improvement projects.
Provide secretariat support for leadership meetings, management forums, strategic retreats and Staff Group.
Maintain action trackers, decision logs and governance records.
Monitor follow-up of leadership decisions and institutional priorities.
Identify opportunities for automation and process improvement.
Promote digital innovation, data-informed decision-making and modern ways of working.
Support procurement, budget and contract-related matters.
Support audit, compliance and records management requirements.
Coordinate office-wide administrative and operational matters.
Requirements
Degree in Business Administration, Healthcare Management, Public Administration, Communications, Information Management or related disciplines.
5–8 years of relevant experience in project management, executive support, corporate planning, governance or secretariat functions is highly advantageous
Experience supporting senior management or executive leadership is preferred.
Strong project management, planning, coordination and stakeholder management skills.
Excellent written and verbal communication skills, with the ability to prepare reports, presentations and briefing materials.
Strong analytical, problem-solving and organisational skills, with the ability to manage multiple priorities independently.
Proficient in Microsoft 365; experience with Copilot, automation, dashboards or AI-enabled tools is an advantage.
