The role is responsible for overseeing departmental governance, policy and process management, BCP, risk register, service agreements, process improvement and projects, while coordinating with internal and external stakeholders to support effective operations.
Responsibilities
1. Governance, Business Continuity & Process Improvement
Coordinate the development, review and maintenance of departmental Policy Manuals (PMs), Standard Operating Procedures (SOPs), Work Instructions (WIs) and related operational documents.
Coordinate the review and maintenance of the department's Business Continuity Plan (BCP), including periodic reviews and exercises.
Identify, coordinate and support process improvement initiatives to enhance operational efficiency and governance.
Ensure departmental documentation is current, consistent with organisational policies and properly version controlled.
2. Service Agreements & Stakeholder Management
Coordinate the development, review and renewal of Service Agreements (SAs), Service Level Agreements (SLAs), Statements of Work (SOWs) and other operational agreements.
Liaise with Public Healthcare Institutions (PHIs), service providers and internal stakeholders to support operational partnerships and service implementation.
3. Projects & Systems Coordination
Coordinate departmental projects, technology refresh initiatives, system enhancements and Change Requests (CRs).
Work closely with users, IT and external vendors to support project implementation, User Acceptance Testing (UAT) and process enhancements.
Coordinate and support ad hoc projects and strategic initiatives assigned by Management.
4. Reporting & Administrative Support
Prepare and consolidate operational reports, presentations and departmental updates.
Coordinate meetings, monitor follow-up actions and maintain project documentation.
Perform other duties and responsibilities as assigned by Management.
Requirements
Qualification
Degree in Business Administration, Healthcare Management, Operations Management, or other relevant disciplines.
Relevant professional qualifications in project management, process improvement or healthcare administration will be an advantage.
Experience
1 - 3 years of relevant experience in operations, governance, project coordination or healthcare administration.
Experience in policy and process documentation, SLA/SA management, project coordination and stakeholder management.
Experience working with PHIs, healthcare organisations or external service providers will be an advantage.
Experience in Business Continuity Planning (BCP), risk register management or process improvement will be an advantage.
