Job Description

• Position Title: Logistics Administrative Assistant
• Working Location: Serangoon North
• Working Hours: 5 days (Monday – Friday, 8:00 AM – 5:30 PM)
• Salary Package: Basic Salary + Variable Bonus
• Duration: Permanent Role

Key Responsibilities

• Prepare shipping and packaging labels using ERP and BarTender according to customer requirements.
• Prepare Certificates of Conformance (COC), export documents, and other required shipping documentation.
• Support daily shipment and delivery coordination with freight forwarders and logistics providers.
• Process inventory reservations, goods receipts, shipment releases, and other transactions accurately in the ERP system.
• Monitor shipment status and follow up on delays or delivery issues.
• Support inventory reconciliation, stock-taking, and investigation of inventory discrepancies.
• Assist with closing completed production jobs/work orders and month-end ERP transactions.
• Follow up with suppliers on shipping documents, delivery schedules, material certificates, and other required documentation.
• Coordinate with Purchasing, Production, Finance, Warehouse, and other departments on materials and operational requirements.
• Prepare purchase requisitions and follow up on supplier acknowledgements and delivery dates.
• Maintain accurate logistics, inventory, purchasing, and operational records in the ERP system.
• Maintain proper filing of shipping, supplier, purchasing, and logistics documentation.
• Prepare basic operational reports and provide administrative support to Logistics, Operations, and Purchasing.
• Perform any other ad-hoc duties as assigned.

• 2 years of experience in logistics, supply chain, warehouse, purchasing administration, or related operations.
• Basic knowledge of shipping, inventory, logistics, and purchasing processes.
• Experience with ERP systems; manufacturing background is advantageous.
• Experience with export documentation and freight forwarders is preferred.
• Proficient in Microsoft Excel and Outlook.
• Experience with BarTender or similar label-printing systems is advantageous.
• Familiar with inventory control and stock-taking.
• Detail-oriented, organized, and able to manage multiple deadlines.
