THKMC is looking for an Executive, HR for delivering efficient, accurate, and customer-focused HR operational support across the employee lifecycle. The role ensure timely administration of HR processes, maintains data integrity, supports compliance with employment regulations and organisational policies, and provides responsive HR support to employees and stakeholders. The incumbent will also contribute to continuous process improvements to enhance service delivery and operational efficiency.

DUTIES & RESPONSIBILITIES

HR Operational Support

  • Administer end-to-end employee lifecycle transactions, including onboarding, confirmation, transfers, promotions, contract renewals, salary changes, resignations, and offboarding.

  • Respond to HR enquiries from employees and managers, providing timely, accurate, and customer-focused support.

  • Assist with the preparation of HR reports and documentation to support management reporting and decision-making.

Payroll Administration

  • Assist with the preparation of payroll related transactions including new hires, confirmations, salary revisions, promotions, transfer, allowances, deductions, resignations, and other employee movements.

  • Liaise with Finance to resolve payroll-related issues and enquiries.

Foreign Workforce and Employment Administration

  • Coordinate the administration of work passes, including renewals, cancellations, medical examination requirements, and compliance with Ministry of Manpower (MOM) regulations.

  • Administer six-monthly medical examination (6ME) processes for foreign employees, including coordination of appointments, submission of medical reports and maintenance of statutory records.

  • Coordinate employment-related travel arrangements, including home leave and repatriation flight bookings, ensuring compliance with organisational policies and contractual obligations.

  • Liaise with travel agencies, medical providers, and government agencies to facilitate smooth administration of foreign workforce matters.

  • Monitor the validity of employment-related documents and ensure timely renewals.

Employee Benefits and Welfare Administration

  • Administer employee insurance enrolment, amendments, transfers, and cessation of coverage for medical and insurance schemes.

  • Process and support employee insurance and medical claims, providing guidance to employees where required.

  • Coordinate employee welfare initiatives, including hospitalisation hampers, congratulatory gifts, condolence wreaths, and other employee support programmes in accordance with organisational policies.

  • Liaise with external vendors to obtain quotations, coordinate approvals, and ensure timely delivery of welfare support.

HR Administration and Office Support

  • Maintain employee personnel files and HR records in electronic formats, ensuring confidentiality and compliance with record retention requirements.

  • Receive, sort, distribute, and maintain records of incoming and outgoing mail, letters, and confidential HR correspondence, ensuring timely delivery to the relevant departments and stakeholders.

  • Manage HR documentation, templates, standard operating procedures (SOPs), and filing systems.

  • Coordinate HR-related procurement, vendor invoices, payment documentation, and finance submissions in accordance with organisational policies.

  • Liaise with external vendors, service providers, and internal stakeholders on HR administrative matters, ensuring timely follow-up and service delivery.

  • Maintain office supplies and coordinate administrative support for the HR department as required.

  • Perform any other duties, responsibilities, or projects as assigned by the Reporting Officer or Management to support the Human Resources Department and organisational objectives.

REQUIREMENTS

  • Diploma or Bachelor's Degree in Human Resource Management, Business Administration, or a related discipline.

  • Fresh graduates are welcome to apply.

  • Candidates with internship experience or up to 2 years of relevant experience in HR operations, HR administration, or payroll administration will have an advantage.

  • Basic understanding of Singapore employment legislation, Ministry of Manpower (MOM) regulations, and HR practices will be an advantage.

  • Familiarity with HRIS and Microsoft Office applications (particularly Microsoft Excel) is preferred.

  • Strong willingness to learn, with the ability to adapt quickly in a fast-paced environment.

  • Good understanding of HR operations and employee lifecycle administration.

  • Familiarity with HR documentation, records management, and payroll processes.

  • Basic knowledge of Singapore employment legislation and MOM regulations is an advantage.

  • Proficient in Microsoft Office applications, particularly Excel.

  • Ability to organise work, maintain accuracy, and manage multiple tasks effectively.
