Overview:
The Student Services Executive plays a key role in supporting the smooth and effective delivery of the school’s Academic Programmes and student support services. This role requires a balance of independent initiative and team collaboration, handling both routine responsibilities and ad hoc projects as assigned. The position reports directly to the Head of Student Services.
Responsibilities:
Administrative Support for Student Services:
- Manage all matters related to Student's Pass (STP), including but is not limited to submissions through the SOLAR system, STP appeals, updates, and renewals, communication with ICA and student guardians
- Assist international students with relocation and settling into life in Singapore
- Handle student enrolment processes, including but is not limited to creation of student email addresses, set-up of accounts in the Learning Management System (LMS) and coordination of onboarding documents and information
Data and Records Management:
- Ensure that student P-files are properly maintained and updated
- Maintain accurate and timely updates of student databases
- Prepare and file daily and monthly reports related to student services and regulatory compliance
Quality Assurance & Survey Administration:
- Support the QA/Registrar team with monthly certificate preparation and distribution
- Serve as the SurveyMonkey Administrator - Disseminate End-of-Module and End-of-Course Surveys
Compile and file survey results for review and reporting
Student Support and Communication:
- Respond professionally and promptly to student and learner enquiries
- Provide assistance and guidance related to school services, attendance, and enrolment
- Attend to student feedback and resolution of issues as needed
Examinations and Meetings:
- Serve as invigilator for examinations, both scheduled and as needed
- Assist in meeting preparation, including coordination of schedules, taking and distributing minutes of meetings
General and Ad Hoc Duties:
- Ensure courteous, professional communication at all times
- Carry out any additional duties or responsibilities assigned by Management
- Demonstrate flexibility and willingness to work beyond standard hours during peak periods or special projects
- Acknowledge that this job description may evolve based on business and operational requirements
Requirements:
- Minimum 1 year of relevant experience in administrative or student services roles
- Added advantage if candidate has knowledge of the SOLAR system and ICA Student Pass processes
- Strong organizational skills with high attention to detail
- Effective communication skills (verbal and written)
- Tech-savvy with proficiency in Microsoft Office and digital survey tools
- Ability to handle confidential information responsibly
- A service-oriented mindset with cultural awareness, especially in a multicultural educational environment
Working Conditions:
- Full-time, Monday to Friday (9AM to 6PM); additional hours may be required for events, meetings, or projects
- Office-based with regular interaction with students, faculty, and external authorities
