We are looking for an experienced Office Manager to support the smooth running of a project-based office environment. This is a hands-on role covering office management, facilities coordination, workplace operations, vendor management, procurement and administrative support.

Around 70% of the role will focus on office and workplace management, including office setup and relocation activities. The remaining scope will involve project coordination and general administrative support.

Key Responsibilities

Office & Facilities Management

  • Coordinate office relocation and setup activities, including renovation, fit-out, move-in and operational readiness.

  • Manage day-to-day office and facilities matters to maintain a safe, functional and well-organised workplace.

  • Coordinate maintenance, repairs and improvement works with vendors and relevant stakeholders.

  • Support workplace safety, fire safety and business continuity requirements.

  • Handle leasing-related administration and liaise with landlords where required.

  • Oversee pantry, parking and other general workplace arrangements.

  • Work with IT and relevant teams to ensure workplace systems and equipment are properly set up and maintained.

Workplace Operations

  • Coordinate workstation setup, access cards, visitor arrangements and meeting room or resource booking systems.

  • Support reception and hosted visits to ensure smooth onsite arrangements.

  • Review and improve office processes and workflows where needed.

  • Coordinate operational responses during facilities or workplace system disruptions.

Vendor, Procurement & Contract Management

  • Coordinate contracts relating to office facilities, workplace services and systems.

  • Manage day-to-day relationships with service providers such as cleaning, security, maintenance, IT and utilities vendors.

  • Monitor vendor performance, service standards and contract requirements.

  • Support vendor sourcing, procurement and onboarding activities.

  • Manage office assets and supplies, including delivery, inventory, maintenance, issuance and returns.

  • Maintain accurate records for contracts, assets, access arrangements and standard operating procedures.

  • Track office expenditure against budget and support cost planning and reporting.

Administrative & Team Support

  • Provide administrative and coordination support to the team and management.

  • Assist with calendars, meetings, reports, presentations and project-related documentation.

  • Coordinate staff onboarding, workspace setup and offboarding arrangements.

  • Support meetings, office events and hosted visits, including logistics, vendor coordination and onsite arrangements.

Requirements / Preferred Qualifications

  • Degree in Business Administration, Office Management, Facilities Management, Project Management or a related discipline.

  • Relevant experience in office management, workplace operations, facilities coordination, administration or project support.

  • Experience handling office relocation/setup, vendors, contracts, procurement or budget tracking would be advantageous.

  • Able to work independently and manage multiple operational priorities.

  • Good coordination and stakeholder management skills, with confidence liaising with vendors and internal teams.

  • Proficient in Microsoft Word, Excel, PowerPoint and Outlook.

  • Comfortable using digital tools, including AI-enabled productivity tools, for documentation, reporting, coordination and workflow improvement.

  • Organised, practical and attentive to detail, with the ability to resolve day-to-day workplace matters efficiently.
