ADMIN & HR EXECUTIVE
About this job
We are seeking a proactive and organized Admin & HR Executive to support the daily administrative and human resource functions of our manufacturing company. The ideal candidate should be detail-oriented, able to multitask, and possess good communication and interpersonal skills.
Key Responsibilities
Human Resources
- Manage recruitment activities, including posting job advertisements, screening resumes, scheduling interviews, and preparing employment offers.
- Coordinate onboarding and offboarding processes for employees.
- Maintain employee records and ensure confidentiality of HR information.
- Administer attendance, leave, medical claims, and other HR documentation.
- Prepare employment contracts, confirmation letters, and other HR correspondence.
- Liaise with government agencies on HR-related matters (e.g. MOM, CPF Board, IRAS).
- Support payroll preparation by compiling attendance, leave, and overtime records.
- Assist in implementing HR policies and ensuring compliance with Singapore employment regulations.
- Coordinate employee training and maintain training records.
- Organize staff engagement activities and company events.
Administration
- Manage general office administration and daily office operations.
- Maintain office supplies, stationery, pantry inventory, and company assets.
- Coordinate maintenance of office equipment, facilities, and service providers.
- Arrange travel bookings, accommodation, and meeting logistics when required.
- Prepare purchase requisitions and process invoices related to office administration.
- Maintain filing systems and company documentation.
- Assist management with reports, presentations, and other administrative tasks.
- Answer phone calls, receive visitors, and handle incoming and outgoing mail/courier services.
Requirements
- Diploma or Degree in Human Resource Management, Business Administration, or a related discipline.
- Minimum 2 years of relevant experience in HR and administration.
- Knowledge of Singapore Employment Act and MOM regulations is an advantage.
- Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook).
- Experience with HR or payroll software will be an advantage.
- Good organizational and time management skills.
- Strong interpersonal and communication skills.
- Able to work independently as well as in a team.
- Positive attitude, responsible, and willing to learn.
Preferred Qualifications
- Experience in a manufacturing environment is preferred.
- Familiarity with ISO documentation and quality management systems is an advantage.
- Experience handling work pass applications (EP, S Pass, Work Permit) is an added advantage.
