We’re looking for an Admin Executive who is organised, tech-savvy and adaptable, with the ability to keep things moving across different teams and priorities.

This role is ideal for someone who enjoys a fast-paced environment, can work independently, and is comfortable supporting multiple functions including Events, Sales and HR. You’ll play an important role in keeping our day-to-day operations running smoothly while gaining hands-on exposure to the events industry.

Your Role in Operations & Administration

  • Office & Administrative Operations

  • Manage day-to-day administrative activities to keep the office running efficiently

  • Organise documents, records and internal administrative processes

  • Coordinate office supplies, arrangements and general operational needs

  • Maintain accurate and organised administrative records across relevant systems

  • Communication & Coordination

  • Manage incoming emails, calls and general enquiries professionally and efficiently

  • Coordinate information between internal teams, clients, vendors and external contacts

  • Support the team in following up on outstanding requests and action items

  • Ensure important information is communicated clearly and on time

  • Events Support

  • Assist event teams with planning, preparation and administrative coordination

  • Coordinate event-related documents, materials, logistics and communications

  • Support onsite event operations and assist with event-day requirements

  • Work closely with different teams to ensure events run smoothly from preparation to execution

  • Sales & Client Support

  • Support the Sales team with administrative coordination and follow-ups

  • Assist in preparing, organising and maintaining sales-related documents and information

  • Coordinate client and prospect communications where required

  • Keep sales records and information organised and up to date

  • HR & People Support

  • Support HR with day-to-day administrative and coordination activities

  • Maintain employee records and assist with HR documentation

  • Coordinate internal staff communications, arrangements and administrative matters

  • Support onboarding, employee activities and other people-related initiatives

  • Systems & Process Support

  • Use digital tools and systems to manage information and complete daily tasks efficiently

  • Identify opportunities to simplify administrative workflows and improve team efficiency

  • Adapt quickly to new platforms, tools and processes

  • Troubleshoot basic administrative or system-related issues and escalate when necessary

  • Onsite & Cross-Functional Support

  • Step in across different departments based on business and event requirements

  • Support onsite operations during events, including setup, registration and coordination

  • Manage multiple priorities while maintaining accuracy and professionalism

  • Take ownership of assigned tasks and see them through to completion

What We’re Looking For

We’re looking for someone who:

  • Has 1–3 years of administrative, operations, events or related experience; fresh graduates with strong relevant experience may also be considered

  • Is tech-savvy and comfortable learning and using different digital platforms

  • Is organised, proactive, adaptable and detail-oriented

  • Can manage multiple tasks, priorities and deadlines in a fast-paced environment

  • Communicates confidently and professionally with colleagues, clients and external parties

  • Can work independently, take initiative and follow through without constant supervision

  • Is comfortable supporting onsite events and working across different departments

Nice to have:

  • Experience in the events, hospitality, sales or professional services industry

  • Familiarity with tools such as Google Workspace, Microsoft Office, Slack or other business systems

  • Experience supporting events or working in a client-facing environment
