Reports to: Director of Finance
Job Responsibilities
1. Manage high-volume daily purchase requisitions, operational supplies & equipment, and F&B requirements efficiently without compromising quality or operational timelines.
2. Handle competitive tender exercises which include managing tender documentations, site inspection, tender interview, comparison and recommendation.
3. Handle contract negotiation, and review contract terms and conditions to protect hotel interests.
4. Actively engage in day-to-day procurement workflows, site inspections, vendor audits, and urgent sourcing requests.
5. Provide direct leadership, training, and operational guidance to the purchasing team.
6. Maintain strategic vendor relationships, evaluate supplier performance regularly, and enforce strict compliance with quality, hygiene, and sustainability standards.
7. Conduct regular supplier performance reviews and promptly resolve service or quality issues.
8. Drive procurement initiatives such as cost-control measures, vendor assessment, new product trials, and support the hotel’s green initiatives.
9. Work closely with co-workers and Department Heads to monitor expenditure, drive cost optimization initiatives, and ensure strict adherence to procurement policies.
10. Maintain clear, open, and efficient lines of communication with internal stakeholders to streamline requirements and resolve supply chain bottlenecks promptly.
11. Prepare procurement updates and monthly reports, and provide support to Finance team during month-end closing.
12. Perform any assignment given by the Management as and when required.
Education & Work Experience
1. Possess minimum a Diploma qualification in relevant field
2. Minimum 5-8 years of progressive procurement experience with at least 3 years relevant working experience in similar capacity in hotel industry
3. Proven track record of managing and mentoring a team
4. Highly hands-on, action-oriented, and able to perform effectively under high-pressure, fast-turnaround conditions
5. Exceptional written and verbal communication skills. Strong negotiation skills with an ability to interface confidently with senior executive management, department heads, and external suppliers
6. Strong analytical and negotiation skills
7. Proficient in Microsoft Office, and experience with CheckSCM is an added advantage
