As a Paymaster & General Cashier, you'll play a vital role in ensuring the smooth and accurate administration of payroll and the effective management of the hotel's cash operations. You'll be responsible for processing payroll accurately and on time in compliance with statutory requirements and company policies, while maintaining strict control over cash receipts, disbursements, banking activities, and daily cash reconciliations. Working closely with the Finance and Human Resources teams, you'll ensure payroll records, employee payments, and cash transactions are handled with accuracy, confidentiality, and integrity. Through your attention to detail, strong financial controls, and commitment to operational excellence, you'll help safeguard the hotel's assets while delivering reliable internal support and contributing to the overall success of the Finance department.

Job Description & Requirements

As the Paymaster & General Cashier, you will be responsible for performing the following tasks to the highest standards:

PAYROLL ADMINISTRATION

  • Process monthly payroll accurately and within established timelines.
  • Process overtime payments, allowances, statutory deductions and other payroll adjustments in accordance with company policies and applicable legislation.
  • Verify payroll data received from the Human Resources department for completeness and accuracy prior to processing.
  • Process payroll-related deductions and reimbursements based on approved documentation.
  • Prepare payroll journals and payroll accrual entries for month-end reporting.
  • Prepare and submit statutory payroll contributions and filings, including CPF, tax reporting and other government submissions where applicable.
  • Maintain payroll records and supporting documentation in a confidential and organised manner.
  • Respond promptly and professionally to payroll-related enquiries from team members.
  • Ensure payroll activities comply with company policies, internal controls and statutory requirements.

GENERAL CASHIER RESPONSIBILITIES

  • Maintain custody and accountability of the hotel's cash funds, floats and petty cash.
  • Prepare and verify daily cash collections received from operational departments.
  • Count, reconcile and balance cash receipts against supporting documentation and system reports.
  • Prepare daily bank deposits and ensure timely banking of hotel funds.
  • Maintain accurate records of all cash movements and banking transactions.
  • Reconcile cash shortages or overages and investigate discrepancies promptly.
  • Issue and replenish cashier floats in accordance with approved procedures.
  • Conduct periodic verification of cashier floats and petty cash balances.
  • Ensure all cash handling procedures comply with company policies and internal control requirements.
  • Safeguard cash, negotiable instruments and related financial assets through secure handling and storage practices.

FINANCIAL CONTROLS & COMPLIANCE

  • Maintain strong internal controls over payroll and cash handling processes.
  • Prepare payroll-related balance sheet reconciliations as assigned.
  • Support month-end and year-end closing activities relating to payroll and cash accounts.
  • Assist with internal and external audits by providing accurate documentation and responding to audit requests.
  • Ensure compliance with company policies, accounting standards and applicable regulatory requirements.
  • Continuously identify opportunities to improve payroll and cash management processes while maintaining appropriate segregation of duties.

COLLABORATION & COMMUNICATION

  • Work closely with the Human Resources team to ensure payroll information is complete and accurate.
  • Collaborate with Finance and operational departments to ensure efficient cash management and reconciliation.
  • Maintain positive working relationships with banks, auditors and relevant external agencies where required.
  • Participate in departmental meetings and training programmes.
  • Carry out any other reasonable duties and responsibilities assigned by management.

In addition, this role requires the following minimum qualifications:

  • Demonstrate the highest standards of integrity, confidentiality, and accountability in managing payroll and cash operations.
  • Maintain exceptional accuracy, attention to detail, and strong organisational skills in all payroll, reconciliation, and cash management activities.
  • Meet strict processing deadlines while ensuring compliance with hotel policies, statutory requirements, and financial procedures.
  • Exercise sound judgement and safeguard confidential employee and financial information at all times.
  • Build strong collaborative relationships with the Human Resources, Finance, and operational teams while providing excellent internal service.
  • Uphold the hotel's values, service philosophy, and professional standards while contributing to operational excellence.
  • Diploma or Degree in Accounting, Finance, Business Administration, or a related discipline preferred.
  • Minimum 3 years of relevant experience in payroll, finance, general cashier, or accounting functions, preferably within the hospitality industry.
  • Strong knowledge of payroll administration, statutory contributions, cash handling procedures, and internal financial controls.
  • Experience in payroll processing, cash reconciliation, banking procedures, and maintaining accurate financial records.
  • Proficient in Microsoft Office applications, particularly Microsoft Excel.
  • Experience with payroll systems, accounting software, banking platforms, and government portals will be an advantage.
  • Strong numerical, analytical, problem-solving, and reconciliation skills.
  • Excellent communication and interpersonal skills with the ability to work effectively across departments.
  • Ability to work independently, maintain confidentiality, and support the Finance and Human Resources teams in a fast-paced hotel environment.
