Job Summary

Support commercial operations from tender preparation to contract execution for the company’s fleet and cross-chartering vessels, driving client engagement and optimizing vessel utilization through effective market intelligence and contract management.

Responsibilities

  • Manage commercial charter and tender enquiries by analyzing market rates and intelligence to propose suitable vessels and commercial offers to the Managing Director (MD)
  • Support the MD in negotiating spot fixtures and time charters to maximize vessel utilization
  • Act as the focal point for managing tenders and contracts, ensuring smooth coordination and execution
  • Prepare commercial documents including proposals, vessel pre-mobilization checklists, contract summaries for Finance, and maintain an updated proposal master list
  • Clarify technical and commercial issues during tender evaluations to support decision-making
  • Engage clients regularly through visits and communications to build strong relationships, understand their requirements, and identify new business opportunities
  • Maintain frequent contact with offshore industry players, brokers, and agents to gather market information and track developments
  • Collaborate closely with Operations, HSE, Technical, Crewing, and Purchasing departments to resolve tender and contract issues and ensure vessel readiness for mobilization pre- and post-contract award
  • Compile and reference contract documents accurately for backcharging and addendums
  • Provide weekly and monthly charter performance updates for business reviews
  • Prepare Charter Party Agreements for MD review and contract signing
  • Ensure all departmental forms and protocols such as Joint Agency Agreements (JAAs), costing sheets, track records, and customer appreciation letters are complete and maintained
  • Organize and maintain an accessible filing system for all tender-related documentation for future reference
  • Manage and update databases including client lists, contacts, and proposals to ensure data accuracy
  • Initiate cold calls and arrange meetings with potential clients to generate new business leads
  • Stay informed on vessel requirements from Oil Majors and contracting companies to align commercial offerings
  • Perform ad hoc duties and projects as assigned by management or company leadership
