About this job

This role supports the planning, scheduling and delivery of classes by coordinating resources, monitoring utilisation, and working closely with stakeholders to ensure smooth operations and continuous improvements.

Coordinate resources such as Classrooms, Trainers and Equipment/Props to schedule classes so classes can be conducted:

  • Schedule classes throughout the year for each product type under their purview.

  • Coordinate resources (e.g. venue/license/trainers/equip) to schedule classes.

  • Track and monitor enrolment rates.

  • Respond, monitor and follow up on un-planned scheduling requests.

  • Monitor and report on utilisation rate, cancellations and sufficiency of capacity.

  • Work with stakeholders to inform learners on class postponement or cancellations.

Ensure administrative activities are completed timely:

  • Course code creation in the system.

  • Processing of payment to Trainers (honorarium) and Partnership Payments

  • Assignment/Un-assignment of Zoom licenses to virtual-led Trainers.

  • Submit any reports (as required)

Manage Stakeholders

  • Participate in weekly class review discussions.

  • Review S&OP data trends to advise Product Managers on adjusting schedules.

  • Communicate with stakeholders to provide prompt and relevant updates.

  • Review feedback from internal stakeholders on planning and scheduling improvements

Support Product and Services Improvements

  • Conduct frequent reviews of trainer and equipment availability with Heads of Product.

  • Conduct frequent reviews of classroom capacity with Head of Planning & Scheduling.

  • Conduct frequent reviews of customer needs with Account or Sales Managers.

  • Provide feedback to internal stakeholders on venues, service delivery and trainers.

  • Provide feedback to internal stakeholders on take-up rates and cancellations.

  • Support stakeholders by performing basic data‑driven analysis to help forecast demand and improve capacity, utilisation, and resource planning.

Requirements

  • Minimum Diploma qualifications

  • Good planning and coordination skills.

  • Proficient in Microsoft Excel and Outlook.

  • Team player.

  • Other Preferred Attributes:

  • Prior experience reading/analysing reports from Power BI or Tableau.

  • Prior experience using Microsoft Power Platforms (Power Automate, Power Apps, SharePoint).
