Shipping & Documentation Officer - Freight Forwarding (FCL)

We are seeking a systematic and detail-oriented Shipping & Documentation Officer to join our freight forwarding team. You will manage logistics paperwork, billing, and customer coordination.
The ideal candidate should possesses strong analytical thinking, easily manages workflows, and ensures absolute accuracy across all shipping documentation for exports and a small volume of FCL import coordination.
Key Responsibilities
- Schedules & Booking: Check carrier websites to verify sailing schedules and secure container bookings.
- Quotation & Pricing : Prepare accurate export quotations to both international and local shippers.
- Documentation & Compliance: Create, submit, and verify shipping instructions and Bills of Lading (BL) via major carrier portals (including OOCL, HMM, IAL, ZIM, Evergreen, CMA, KMTC, and ONE).
- Issue Resolution: Systematically track and follow up on Bill of Lading corrections to prevent cargo delays.
- Permit Verification: Check and verify export permits to ensure full customs compliance and alignment with shipping documents.
- Other Shipping Documents : Prepare and Check accuracy for Subsidiary Certificate, PSIC, Certificate of Origin, and Insurance.
- Financial Auditing: Check carrier invoices for accuracy prior to payment and issue billing invoices to local and overseas customers.
- Deadline Management: Meet strict carrier and internal cut-off timelines for all shipping instructions.
- Stakeholder Coordination: Maintain clear, proactive communication with customers, carriers, and internal departments.
- Import Coordination: Coordinate and manage a small volume of Full Container Load (FCL) import shipments from arrival to final delivery, ensuring empty containers are returned to the depot.
Requirements
- Experience: Minimum 1 to 2 years of proven experience within the freight forwarding industry.
- Cognitive Skills: Strong systematic thinking with the ability to map out logical workflows and catch documentation or permit errors.
- Technical Skills: Hands-on experience navigating major ocean carrier websites for vessel schedules, space bookings, and document submission.
- Language Proficiency: Good conversational English skills for daily coordination with global clients and colleagues.
- Core Attributes: Exceptional attention to detail and sharp time-management skills under tight deadlines.
- Software Skills: Proficiency in Microsoft Word and Excel is a must.

Work Hours
- 5 days work week with Alternative Saturday (half day)
Pay:
$2,800.00 - $3,200.00 per month
