Office Manager
About this job
Requirements:
• Ensure smooth and efficient day-to-day operations of the office.
• Oversee office facilities management including maintenance, repairs, and coordination with property management, ensuring all office infrastructure and utilities function properly.
• Manage vendor and supplier relationships including contract reviews, service coordination, and ensuring agreements remain up-to-date and aligned with office operational requirements.
• Provide administrative support to the Managing Director and team, including onboarding of new staff and preparation of meeting materials.
• Manage office inventory including stationeries, pantry consumables, and IT equipment, ensuring sufficient supplies and resources are available for daily operations.
• Coordinate IT-related matters, ensuring proper functionality of office equipment such as PCs, printers, and other IT resources.
Coordinate HR operations including payroll processing
• Review and update office policies to ensure they remain current, aligned with company objectives, and compliant with applicable regulations and laws.
• Monitor and track statutory and office-related obligations including office insurance, MCST, utilities payments, and other property-related dues.
• Coordinate incoming and outgoing postal matters.
• Track petty cash expenses and manage accounts payables.
• Maintain proper data depositary and document archiving.
• Support other ad-hoc administrative or operational projects as required.
Skills:
Strong administrative and organizational skills with the ability to manage office operations, schedules, and documentation efficiently.
Experience in vendor coordination, office maintenance management, and handling third-party service providers.
Proficiency in Microsoft Office (Word, Excel, Outlook) and basic office administration systems.
Ability to manage office inventory, supplies, and equipment including IT assets and consumables.
Basic knowledge of bookkeeping, accounts payable support, petty cash tracking, and invoice coordination.
Strong communication and interpersonal skills to coordinate with management, staff, vendors, and property management.
Good attention to detail with capability to maintain records, archives, and compliance with company policies.
Ability to work independently, handle multiple tasks, and manage ad-hoc operational projects.
