Sales and Service Coordinator

We are seeking a proactive and customer-focused Sales & Service Coordinator to support the sales and after-sales service operations of a leading marine engine manufacturer. The successful candidate will coordinate customer enquiries, quotations, spare parts orders, field service activities, and service engineers to ensure timely and efficient support for marine engine maintenance and repair projects.

Key Responsibilities

Sales Coordination

• Prepare and follow up on quotations for marine engine spare parts, equipment, and service enquiries.

• Process customer purchase orders and coordinate order fulfilment from enquiry to delivery.

• Work closely with the Sales team to manage customer enquiries, pricing, and commercial documentation.

• Maintain accurate sales records, order status, and customer information in the company system.

Service Coordination

• Coordinate field service attendance, including scheduling service engineers, vessel attendance, and workshop activities.

• Liaise with customers, shipowners, vessel managers, agents, and service engineers to arrange service jobs.

• Monitor service progress and provide customers with updates on job status and completion timelines.

• Coordinate emergency service requests and ensure prompt response to operational requirements.

Logistics & Documentation

• Arrange shipment and delivery of spare parts and equipment to vessels locally and overseas.

• Prepare delivery orders, invoices, service reports, shipping documents, and other related documentation.

• Coordinate with suppliers, freight forwarders, and warehouse teams to ensure timely deliveries.

• Maintain service records, job files, and documentation in accordance with company procedures.

Customer Support & Administration

• Act as the primary point of contact for customer enquiries relating to sales orders and service coordination.

• Follow up on outstanding quotations, purchase orders, deliveries, and service reports.

• Support warranty claims, defective parts returns, and customer feedback where required.

• Prepare monthly sales and service reports and support administrative duties within the department.

Requirements

• Diploma or Degree in Marine Engineering, Mechanical Engineering, Maritime Studies, Business Administration, or a related discipline.

• Minimum 2–4 years of relevant experience in sales coordination, service coordination, customer service, or marine operations within the maritime industry.

• Experience supporting marine engines, propulsion systems, auxiliary machinery, or marine equipment is preferred.

• Familiarity with marine spare parts, service scheduling, and vessel attendance processes is an advantage.

• Strong organizational and coordination skills with the ability to manage multiple priorities.

• Excellent communication and customer service skills with experience liaising with shipowners, vessel managers, suppliers, and service engineers.

• Proficient in Microsoft Office applications; experience with SAP or other ERP systems is an advantage.

• Detail-oriented, proactive, and able to work effectively in a fast-paced operational environment.
